Qualifications

  • Position: Certified Nursing Assistant / Administrative Coordinator
  • Location: Philadelphia, PA
  • Hours: Flexible Hours | Full Time | 30+ hours/week

The Position

The Administrative Coordinator/CNA is a key support role, responsible for managing front-office operations and providing clerical support for clinical programs, while also providing support to the children and nurses in the center.

  • Route incoming calls and process messages promptly.
  • Handle and distribute mail and deliveries; coordinate outgoing mail and maintain logs.
  • Create and manage correspondence, forms, policies, and reports.
  • Manage office and medical supplies; ensure equipment is operational.
  • Assists nursing team in the delivery of routine child care activities.
  • Performs clinical skills according to established standards of care; assists nurse with treatments/procedures as requested.
  • Participates in data collection, i.e., VSS, BP, weights, collection of specimens, etc.
  • Records clinical findings, patient information, interventions, and patient responses in designated records.
  • Reports to designated Registered Nurse any specific patient/family issues, signs and symptoms, concerns or problems requiring further assessment, communication, investigation, and/or intervention.
  • Recognizes the need for and initiates CPR as needed.
  • Maintains confidentiality of the patients and their families.
  • Maintains clean, safe unit environment; minimizes the risk of the transfer of infection or injury by adhering to universal precautions and barrier techniques; identifies and reports safety hazards to designated Registered Nurse.
  • Manages specialized patient care, i.e., child in isolation, as assigned.
  • Participates in play/child development/educational activities as directed.
  • Accepts child care assignments and center maintenance duties or discusses problems/concerns with designated Clinical Manager.
  • Attends communication meetings, child care conferences, and clinical inservices as appropriate.
  • Prepares meals for children as per meal plan guidelines or per individual child’s prescribed nutritional plan.
  • Labels and maintains stock/individual child food/formula supply; stores opened food/formula in labeled/sealed/closed containers; checks expiration dates and disposes of accordingly; performs weekly disposal of all opened perishable items; shops for meal plan program as directed.
  • Cleanses feeding tubes daily with vinegar solution and air dries; places tubing in refrigerator nightly..
  • Changes bed linens on set days, i.e., M W F and/or between children and when linen is soiled; maintains laundry.
  • Cleanses suction canisters/connecting tubing daily with vinegar solution and air dries if used.
  • Changes feeding tubes, bulb syringes and nebulizer units weekly.
  • Cleans beds, high chairs, swings, exam table, plastic mats, etc. daily and/or between children.
  • Performs minor center/equipment repairs and assembles new furniture/equipment.
  • Takes inventory; replaces/orders stock medical supplies based on established weekly par levels; checks in supplies when delivered (compares shipping invoice with actual supplies delivered) and puts supplies away; forwards packing slip to designated Administrative Coordinator.
  • Performs daily duties outlined in the Food/Formula Expiration Log and completes accordingly.
  • Performs duties as outlined in the Direct Care Staff Daily Routine, Therapeutic Play Staff Daily Routine and Therapeutic Play Typical Daily Routine study guides.

Transport (PPEC Facility Only)

  • Safeguard children during transport to/from PPEC Center.
  • Respond to emergencies; activate EMS if needed.
  • Maintain and inventory emergency medical equipment.
  • Ensure compliance with transport policies and procedures.

Requirements

  • Graduate of an accredited vocational school for Certified Nursing Assistants.
  • Valid Certification as a Certified Nursing Assistant.
  • Completion of a pediatric basic life support certification course; current CPR card.
  • Minimum one year experience in the care of infants, toddlers and children
  • Experience: Previous administrative experience in a healthcare setting is preferred.
  • Experience with financial reporting/billing and ICD-10/CPT coding preferred.
  • Familiarity with third-party payors and pre-certification processes preferred.
  • Skills:
    • Strong organizational and communication skills.
    • Proficiency in office software and attention to detail.
    • Ability to handle confidential information and solve problems effectively.
