Payroll Supervisor

Salary: $75,000–$100,000 per year, DOE

About the Position

We are seeking an experienced and detail-oriented Payroll Supervisor to oversee payroll operations and ensure employees are paid accurately, timely, and in compliance with company policies and applicable federal, state, and local regulations.

The Payroll Supervisor will oversee weekly payroll processing, payroll tax procedures, certified payroll reporting, employee records, garnishments, payroll reconciliations, and payroll compliance. This position will also provide leadership, guidance, and training to the payroll team while working closely with management and accounting.

The ideal candidate is highly organized, dependable, proactive, and comfortable working in a fast-paced environment where accuracy and confidentiality are essential.

Key Responsibilities
  • Review weekly field payroll reports for accuracy and ensure timely payroll processing.
  • Maintain accurate payroll records, including direct deposit and non-direct deposit employee information.
  • Review new hire documentation and ensure payroll records are complete and accurate.
  • Update employee pay rates for annual merit increases and labor union increases.
  • Update quarterly PTO accruals.
  • Process weekly payroll taxes and ensure timely tax remittance.
  • Process employee garnishments and other payroll adjustments.
  • Ensure certified payroll reports are completed and submitted accurately and on time.
  • Audit certified payroll submitted by subcontractors, as assigned.
  • Interpret company policies and applicable government regulations affecting payroll.
  • Ensure payroll processes are efficient, accurate, timely, and compliant.
  • Complete payroll audits under the direction of the Controller.
  • Reconcile payroll and related liability accounts in the general ledger each pay period.
  • Oversee the payroll hold list and ensure appropriate follow-up and resolution.
  • Manage inactive employees in American Contractor.
  • Oversee OCIP enrollment activities.
  • Provide payroll information and respond to employee questions and requests.
  • Organize and facilitate weekly payroll team meetings to review updates, priorities, and responsibilities.
  • Provide guidance, feedback, training, and support to payroll team members.
  • Assist with the onboarding and development of new payroll team members.
  • Maintain current knowledge of payroll practices, regulations, and industry standards through continuing education and professional development.
  • Attend and conduct meetings as required.
  • Perform other duties and responsibilities as assigned.
Qualifications
Required
  • Minimum of 1 year of professional experience as a senior member of a corporate payroll team or comparable payroll experience.
  • Strong knowledge of payroll processing, recordkeeping, and compliance requirements.
  • Experience handling payroll adjustments, garnishments, payroll taxes, and employee records.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to maintain confidential employee and payroll information.
  • Proficiency with Microsoft Office applications and accounting/payroll software.
Preferred
  • Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field.
  • Experience supervising or leading a payroll team.
  • Experience with construction payroll and certified payroll reporting.
  • Experience with union payroll and labor agreements.
  • Experience with American Contractor or similar construction management/payroll software.
  • Bilingual English/Spanish skills are highly desirable.

Education & Experience

A minimum of one (1) year of professional experience as a senior member of a corporate payroll team, including payroll processing, file management, compliance, and administrative responsibilities comparable to those described above.

A Bachelor’s degree is preferred but not required.

Physical Requirements

This position requires frequent sitting and extended computer use. The employee may also be required to stand, bend, stoop, twist, and turn or flex the neck. Repetitive use of hands may be required to operate computers, printers, and other office equipment.

The ability to lift and carry objects weighing up to 50 pounds may occasionally be required. Reasonable accommodations may be provided to enable qualified individuals with disabilities to perform the essential functions of the position.

Work Environment

This position primarily works in an office environment with regular exposure to computer screens, office equipment, and typical workplace noise.
