Position Overview

We are currently hiring a Payroll Specialist / Accounting Assistant to support our finance and HR teams. This role is essential in ensuring accurate and compliant payroll processing, benefits administration, and day-to-day accounting functions. You'll work closely with internal departments to support smooth financial operations while maintaining a high level of accuracy, discretion, and integrity.

Key Responsibilities
Payroll & Benefits Administration
  • Process biweekly payroll accurately and on time, in compliance with all relevant laws and regulations.

  • Manage employee benefits programs including health, dental, vision, life, and disability insurance.

  • Handle payroll-related inquiries and resolve discrepancies promptly.

  • Collaborate with HR on new employee onboarding and payroll system updates.

  • Maintain and audit employee compensation, benefits, and tax documentation.

Accounting & Financial Support
  • Assist with accounts payable and receivable, invoicing, and payment processing.

  • Track, categorize, and reconcile expenses across departments.

  • Prepare financial reports and summaries for leadership review.

  • Support month-end and year-end closing procedures.

  • Work with external vendors and financial service providers as needed.

Compliance & Recordkeeping
  • Ensure financial and payroll practices are compliant with internal policies and legal standards.

  • Keep accurate and organized digital records of financial transactions and payroll activity.

  • Prepare reports for internal and external audits.

Required Skills & Qualifications
  • Proven experience in payroll processing, benefits administration, and general accounting tasks.

  • Working knowledge of federal and state tax laws, wage and hour regulations, and benefits compliance.

  • Strong attention to detail with excellent time management and organizational skills.

  • High proficiency in Microsoft Office Suite (Excel in particular) and comfort using MacOS.

  • Familiarity with accounting and payroll software systems (QuickBooks, ADP, Gusto, etc. a plus).

  • Excellent communication and interpersonal skills.

  • Ability to work independently, maintain confidentiality, and adapt in a fast-paced environment.
