Job summary

Bolthouse Fresh Foods, headquartered in Bakersfield, CA, is seeking a Payroll Specialist to join our team. You will process weekly payroll for about 1,500 employees, ensure accuracy, and maintain compliance with payroll regulations. This role reports to the Payroll Assistant Manager and collaborates with HR and outside agencies.

The position requires attention to detail, strong communication, and experience with ADP/UKG timekeeping systems. 1st shift, full-time hours with standard benefits.

Responsibilities

• Process weekly payroll for about 1,500 employees on time.
• Follow Payroll Task Checklist to ensure accuracy and deadlines.
• Process manual checks for terminations, adjustments, etc.
• Review departmental policies for accuracy and update as needed.
• Maintain payroll spreadsheets for taxes and weekly processing.
• Analyze submissions for correctness and follow up as needed.
• Suggest improvements to strengthen controls and SOX compliance.
• Provide high-level service to internal and external stakeholders.
• Handle vacation and sick accruals accurately.
• Process garnishments, tax levies, and wage orders timely.

WHAT YOU’LL BE RESPONSIBLE FOR IN THIS ROL e

The Payroll Specialist will support team with processing all payroll duties. This position reports to the Payroll Assistant Manager and interacts with all levels of the Corporation and outside agencies.

• Process weekly payroll for approximately 1,500 employees timely
• Utilize the Payroll Task Checklist to manage and complete all required payroll tasks, ensuring accuracy, compliance, and adherence to weekly payroll deadlines
• Process manual checks as necessary for terminations, adjustments, etc.
• Review documentation of departmental policies and procedures and ensure compliance. Update as necessary
• Ensure data in spreadsheets for taxes, weekly payroll processing and evaluate for accuracy and completeness
• Analyze information submitted for correctness and follow-up if appropriate personnel to validate
• Make recommendations to Payroll Assistant Manager to strengthen departmental controls
• Follow all procedures and controls set up by department to ensure Sarbanes‑Oxley compliance
• Provide a high level of service for internal customers and outside agencies when required
• Analyze and correct vacation and sick accruals when necessary
• Process garnishments, tax levies, wage orders, child/spousal support are responded to and processed timely. Ensure all documentation is on file of case disputes
• Work with HR on all pay‑related issues, including LOA’s, terminations, new hires, transfers, etc.
• Work with ADP to set up new earnings and/or deduction codes ensuring that the setup includes the proper taxation and W‑2 reporting
• Respond to all payroll inquiries via email, phone call, etc. timely and accordingly
• Backup to the front desk when receptionist is absent
• Provide cross‑functional support for Human Resources including benefit & HRIS related tasks
• Performs other duties as assigned

WHAT WE’RE LOOKING FOR

Minimum Qualifications:

• High School Diploma or equivalent; three years of progressively responsible payroll experience in a fast‑paced, high‑volume environment and/or training; or an equivalent combination of education and experience
• Experience processing payroll for a high‑volume, multi‑location workforce, including hourly and salaried employees
• Basic knowledge of Payroll and Federal State Tax regulations
• Candidates must have a verifiable history of safe vehicle operation and meet company standards for driving eligibility. This includes maintaining a clean driving record, which will be verified through a background check.

Required Skills and Abilities:

• Ability to manage multiple tasks in a fast paced, high-pressure environment
• Excellent communication/interpersonal and problem‑solving skills
• Ability to interact with a diverse employee population and with internal/external customers in an effective, professional manner
• Proficient with Microsoft office suite and Excel

• Experience with automated timekeeping systems for 1000+ employees, preferably UKG

Preferred Qualifications:

• Experience with ADP Workforce Now
• Experience with UKG timekeeping system

PHYSICAL DEMANDS:

• Work is performed primarily in a standard office environment with frequent interruptions.
• Ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, climb, kneel, crouch, reach, and twist.
• Lift, carry, push, and/or pull light to moderate amounts of weight up to 30 lbs.
• Operate office equipment requires repetitive hand movement and fine coordination including use of a computer keyboard.
• Ability to stand for long periods of time in an upright position walking on both even and uneven surface
• Ability to stoop, crouch, and kneel on a regular basis

HOURS & WORKDAYS:

1st Shift – 08:00 am to 05:00 pm; Monday through Friday, when business requires overtime and weekends will be mandatory
