Job summary

Stabbert Maritime, a Seattle-based maritime company, seeks a Payroll Specialist to manage weekly and biweekly payrolls across multiple entities. The role collaborates with Accounting and HR, ensuring accurate payroll, deductions, and journal entries.

Qualifications

• Bachelor’s Degree in accounting, finance, or related field.
• Certified Payroll Professional or Payroll Compliance Practitioner credentials are beneficial.
• Strong analytical and problem-solving skills.
• Excellent Microsoft Excel skills and experience with QuickBooks Enterprise.
• Led or supported at least one payroll implementation.
• Knowledge of maritime (day rate) or project-based payroll a plus.
• Experience with Paylocity preferred.

Responsibilities

• Ensure accurate calculation of payroll, bonuses, deductions, taxes, and direct deposits.
• Serve as the primary payroll expert, partnering with Accounting and HR teams.
• Prepare payroll journal entries and reconcile payroll, payroll tax, and benefit accounts.
• Post general journal transactions, including intercompany funding transfers.
• Review general ledger accounts for proper recording and make corrections as needed.
• Assist in preparing preliminary drafts of financial statements.
• Develop new or improve existing payroll processes and systems.
• Support AR, AP, and purchasing roles as needed.

We are seeking an experienced Payroll Specialist to join our Finance Team.

Position Summary

We are seeking an experienced Payroll Specialist to serve as the primary payroll expert across our multi-company, multi-state organization. This role runs weekly and biweekly payrolls for our shipyards, vessel operating companies, and administrative staff, and owns the accuracy of payroll, bonuses, and deductions along with the related journal entries and account reconciliations. Working closely with the Accounting and HR teams, the Payroll Specialist also supports general accounting activities and plays a key role in improving our payroll processes and systems. The ideal candidate has run payroll across multiple entities, has led or supported at least one payroll implementation, and works independently with a high degree of accuracy and discretion.

This is a full-time, exempt (salaried) position that can be performed remotely, with a preference for candidates able to work from our Ballard, WA office four days per month. Compensation is $80,000–$90,000 annually plus bonus, depending on experience, and benefits include medical, dental, and vision insurance, Flexible Spending Accounts (FSA), a 401(k) retirement plan, and paid vacation and holidays.

Essential Duties and Responsibilities

Payroll Processing

• Process weekly and biweekly payrolls for shipyards, vessel operating companies, and administrative staff, including crew and onshore wages, salaries, and benefits.
• Ensure accurate calculation of payroll, bonuses, deductions, taxes, and direct deposits.
• Serve as the primary payroll expert, partnering closely with the Accounting and HR teams.

Accounting & Reconciliation

• Prepare payroll journal entries and reconcile payroll, payroll tax, and benefit-related accounts.
• Perform monthly reconciliation of accounts.
• Post general journal transactions, including intercompany funding transfers.
• Review general ledger accounts for proper recording of transactions and correct as needed.
• Assist in preparing preliminary drafts of financial statements.

Process Improvement & Team Support

• Play a key role in process improvements by developing new or improving existing processes and technology to create greater efficiencies.
• Support AR, AP, and purchasing roles as needed.
• Perform other related duties as assigned.

Qualifications

• Bachelor’s Degree in accounting, finance, or related field with previous 3 year’s experience in multi-entity organization, ideally in the maritime, construction, or manufacturing industry
• Certified Payroll Professional or Payroll Compliance Practitioner credentials are beneficial
• Strong analytical and problem-solving skills to identify and resolve discrepancies
• Technologically savvy with excellent Microsoft Excel skills and experience with Quickbooks Enterprise software
• Must have led or supported at least one payroll implementation in your career; more than one preferred
• Knowledge of maritime (day rate) or project-based payroll a plus
• Experience with Paylocity preferred
• Exceptional attention to detail and organizational skills
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment

• Occasionally lift and carry up to 20 pounds (files, equipment, office supplies).
• Work in a home office and company office environment in a shipyard which may involve exposure to noise, weather, and active industrial operations.
