Job summary

TOTE Resources is seeking a detail-oriented Payroll Specialist to join our Tacoma, WA team. This full-time, hybrid role focuses on accurate, timely multi-state payroll, regulatory compliance, and exceptional employee support across business units.

Ideal candidates have 3+ years in payroll, with strong knowledge of payroll laws, HRIS usage, and posture for confidentiality. We offer comprehensive benefits and a hybrid schedule (4 days onsite/1 day remote) in a mission-driven maritime/logistics

Responsibilities

• Process accurate and timely multi-state payroll.
• Maintain payroll records, deductions, garnishments, and tax documentation.
• Audit and review employee timesheets for accuracy.
• Ensure compliance with federal, state, and local payroll regulations.
• Partner with HR, Accounting, and operational teams.
• Support payroll audits, reconciliations, and year-end processing.
• Respond to employee inquiries with professionalism and urgency.
• Drive process improvements and system enhancements.
• Maintain confidentiality of sensitive employee data.

TOTE Resources is seeking a detail-oriented, customer-focused, and highly organized Payroll Specialist to join our growing team in Tacoma, Washington. In this role, you will play a key part in ensuring accurate and timely payroll processing, maintaining regulatory compliance, and delivering exceptional employee support across multiple business units.

What You’ll Do

• Process accurate and timely multi-state payroll
• Maintain payroll records, deductions, garnishments, and tax documentation

What We’re Looking For

Required Qualifications

• 3+ years of payroll processing experience
• High School diploma or equivalent
• Strong knowledge of payroll laws and compliance requirements
• Experience with HRIS and payroll systems
• Exceptional attention to detail and organizational skills
• Strong communication and customer service abilities
• Proven ability to manage multiple priorities and deadlines

Preferred Qualifications

• Experience with ADP or Concur
• Multi-state or multi-entity payroll experience
• Experience working with union and non-union labor

Compensation

The salary range is $50,000 to $65,000 annually, with an expected target salary of $60,000 to $62,000 per year. Compensation will be based on several factors including the candidate’s education, work experience, work location, and specific job duties.
