Job summary

TOTE Resources is seeking a detail-oriented Payroll Specialist to join our Tacoma team. This is a full-time role with a hybrid schedule (4 days in office / 1 day remote) across our operations in Tacoma, WA.

You will ensure accurate and timely payroll processing, maintain regulatory compliance, and provide exceptional employee support while collaborating with HR, Accounting, and other teams to drive improvements and protect confidential data.

Qualifications

• 3+ years of payroll processing experience required.
• Strong knowledge of payroll laws and compliance requirements.
• Experience with HRIS and payroll systems.
• Excellent attention to detail and organizational skills.
• Strong communication and customer service abilities.
• Proven ability to manage multiple priorities and deadlines.

Responsibilities

• Process accurate and timely multi-state payroll.
• Maintain payroll records, deductions, garnishments, and tax documentation.
• Audit and review employee timesheets for accuracy.
• Ensure compliance with federal, state, and local payroll regulations.
• Partner with HR, Accounting, and operations teams.
• Support payroll audits, reconciliations, and year-end processing.
• Respond to employee inquiries with professionalism and urgency.
• Drive process improvements and system enhancements.
• Maintain confidentiality of sensitive employee data.

What You’ll Do

What We’re Looking For

Required Qualifications

• 3+ years of payroll processing experience
• High School diploma or equivalent
• Strong knowledge of payroll laws and compliance requirements
• Experience with HRIS and payroll systems

• Strong communication and customer service abilities
• Proven ability to manage multiple priorities and deadlines

Preferred Qualifications

• Experience with ADP or Concur
• Multi-state or multi-entity payroll experience
• Experience working with union and non-union labor

Compensation

The salary range is $50,000 to $65,000 annually, with an expected target salary of $60,000 to $62,000 per year. Compensation will be based on several factors including the candidate’s education, work experience, work location, and specific job duties.
