Job summary

Adelante Healthcare in Phoenix, AZ is seeking a Payroll Specialist to manage payroll processing and ad-hoc reporting with accuracy and timeliness. You will handle ACA reporting and quarterly/year-end tasks while supporting related accounting functions.

The role requires at least three years in electronic payroll processing, strong data integrity in HRIS, and excellent communication. Candidates must be fluent in English and hold a Level One Fingerprint Clearance Card for applicable sites.

Qualifications

  • Minimum of three (3) years’ experience in electronic payroll processing.
  • Minimum of one (1) year experience with ACA payroll reporting requirements.
  • Experience with quarterly and annual reporting requirements.
  • Understanding of payroll taxes, garnishments, and other deductions.
  • Experience reconciling payroll general ledgers.
  • Ability to multi-task, organize, and prioritize.
  • Excellent analytical, organizational, and communication skills.
  • Must be able to prepare reports and meet deadlines.
  • Excellent computer skills (Windows, MS Office, payroll data systems).
  • Ability to work independently with minimal supervision and as part of a team.
  • Must speak fluent English.
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for all specialty behavioral health locations.

Responsibilities

  • Maintain confidential, accurate, up-to-date payroll files.
  • Prepare, process, and distribute payroll accurately and timely.
  • Calculate monthly provider incentives.
  • Support high data integrity of HRIS data through regular audits; troubleshoot irregularities; partner with People Services to correct discrepancies.
  • Prepare and submit quarterly and annual reporting per state and federal guidelines.
  • Research and prepare payroll analysis, projections, internal reports as required.
  • Communicate directly with internal personnel and employees about payroll questions, changes, payments, and deductions.
  • Reconcile assigned general ledger accounts.
  • Attend instructional programs and seminars to update knowledge of payroll laws/procedures.
  • Work directly with external auditors as needed.
  • Assist with preparation of the annual audit.

Job description

Position Summary

The Payroll Specialist is primarily responsible for payroll processing and the completion of required ad-hoc reports, on a timely and accurate basis. Responsible for calculating additional compensation as needed. Quarterly and year-end reporting including 941’s, W-2’s. This position works under the general supervision of the Disbursement Manager. Additional responsibilities include assisting with accounting functions and financial reporting related to Accounts Payable.

Physical Demands and Work Environment

Physical demands may include sitting for long periods, standing, walking, using hands, reaching, climbing steps, balancing, stooping, kneeling, crouching, crawling, talking or hearing, smelling, and managing stress. The employee may need to lift up to 25 pounds without assistance and occasionally 50 pounds with assistance. Visibility requirements include close, distance, color, peripheral, depth perception, and focus adjustment.

Work environment may expose the employee to weather conditions when traveling to clinic sites and moderate noise levels. The employee may be exposed to health hazards such as contagious diseases and blood-borne pathogens in the clinic area.
