Job Description:

The Payroll Manager is responsible for leading accurate, timely, and compliant payroll operations across the United States, Canada, Costa Rica, and Brazil. Reporting to the Director of Shared Services Accounting, this position leads the payroll team and partners closely with Accounting, Finance, Human Resources, Treasury, Legal, and external payroll providers.

The Payroll Manager is accountable for end-to-end payroll delivery across all four countries, including payroll processing and controls, regulatory compliance, tax reporting, reconciliations, payroll systems and vendor coordination, employee service, and continuous improvement of payroll and timekeeping processes.

Essential Duties and Responsibilities
  • Lead accurate, timely, and compliant payroll operations for 1,000+ employees across the U.S., Canada, Costa Rica, and Brazil, including wages, commissions, bonuses, taxes, benefit deductions, garnishments, and other payroll-related transactions.
  • Lead and develop a payroll team of two, currently consisting of a Principal Payroll Analyst and Senior Payroll Specialist, establishing priorities, reviewing work, ensuring appropriate coverage, and supporting employee development.
  • Oversee global payroll delivery across the U.S., Canada, Brazil, and Costa Rica, ensuring payrolls are completed accurately, timely, and in accordance with applicable requirements.
  • Maintain effective payroll controls, review procedures, approvals, reconciliations, and supporting documentation to promote payroll accuracy, data integrity, and audit readiness.
  • Ensure payroll tax compliance, including quarterly and annual filings, year-end reporting, reconciliations, and coordination with external payroll and tax providers.
  • Partner with Accounting on payroll-related general ledger reconciliations, month-end close activities, accruals, and supporting documentation.
  • Coordinate payroll funding with Treasury, including wages, taxes, garnishments, retirement contributions, and other payroll-related payments.
  • Manage payroll vendors and escalations, including service delivery, issue resolution, compliance matters, and operational performance.
  • Partner with HR, Legal, and other stakeholders to assess payroll implications of regulatory and business changes.
  • Lead payroll process improvement, documenting processes, identifying control or efficiency opportunities, and implementing scalable solutions.
  • Partner with HCM business analysts to evaluate, test, and implement payroll-related system upgrades, configurations, and business-process improvements.
  • Establish and communicate payroll calendars, policies, procedures, and deadlines to employees, managers, and business partners.
  • Support payroll-related audits, including the annual 401(k) audit, and provide payroll reporting and analysis to Accounting, HR, and other stakeholders.
Minimum Experience
  • 10+ years of progressively responsible payroll experience, including multi-state U.S. payroll and international payroll operations.
  • Bachelor’s degree in accounting, finance, or human resources (or related field).
  • Certified Payroll Professional (CPP) certification required.
  • Demonstrated experience leading payroll professionals, including experience managing global and/or remote team members.
  • Strong knowledge of payroll accounting, payroll taxation, reconciliations, controls, and compliance requirements.
  • Experience supporting international payroll operations and working across borders and time zones.
  • Experience troubleshooting payroll processing issues and analyzing payroll reports and data.
Technical Knowledge and Preferred Experience
  • Experience with Workday and CloudPay, or comparable HCM and global payroll platforms.
  • Knowledge of payroll processing and accounting for expatriate employees preferred.
  • Intermediate or greater proficiency in Microsoft Excel.
  • Proficient computer, organizational, analytical, research, and problem-solving skills.

Work Location & Flexibility

This position can be located remotely however if the candidate is based in our Minneapolis location the office follows a hybrid work model. Employees in these locations are expected to work on-site a minimum of two days per week. Please note that specific business units or role requirements may necessitate additional in-office days based on team collaboration needs or operational priorities.

The base salary range represents the estimated low and high end for this position based on a good faith assessment of the role and market data at the time of posting. Consistent with applicable law, each candidate’s compensation offer may vary and will be determined based on but not limited to, your geographic region, skills, qualifications, and experience along with the requirements of the position. This position may be eligible for bonuses, commissions, or overtime if applicable. Benefits include health insurance (medical, dental, vision), a retirement savings plan, paid time off, and other employee benefits. Specific details will be provided during the interview process.
