Position Overview
Payroll Manager responsible for end-to-end processing for multi‑state U.S. employees, reporting to Senior Payroll Manager, based in San Jose, CA. Full‑time on‑site role.
Key Responsibilities
- Lead and execute end-to-end payroll processing (bi‑weekly, weekly, and/or monthly) for multi‑state U.S. employees.
- Review and approve payroll registers, variance reports, and reconciliations to ensure accuracy and completeness.
- Oversee off‑cycle payrolls, including terminations, bonuses, and adjustments.
- Manage payroll‑related aspects of equity compensation (RSUs, ESPP, stock options).
- Ensure compliance with federal, state, and local payroll tax laws and wage‑and‑hour regulations.
- Manage payroll tax filings and coordinate with external providers as applicable.
- Administer 401(k) contributions, audits, and compliance requirements.
- Lead and support internal and external payroll audits, ensuring strong controls and documentation.
- Serve as system owner for payroll platforms (e.g., ADP, Workday), ensuring optimal configuration and performance.
- Identify, design, and implement scalable processes and automation to improve efficiency and reduce risk.
- Partner with HRIS, Finance, and IT teams on system integrations, enhancements, and data integrity.
- Maintain and continuously improve payroll procedures, controls, and documentation.
- Act as point of contact for complex payroll inquiries, ensuring timely and accurate resolution.
- Partner closely with HR to ensure accuracy of employee data impacting payroll (hires, terminations, comp changes).
- Prepare and analyze payroll reports (headcount, labor costs, variance analysis).
- Support month‑end and year‑end close activities, including accruals, reconciliations, and audit schedules.
- Partner with Finance on payroll forecasting and expense management.
- Collaborate cross‑functionally with HR, Finance, Legal, and IT to contribute to payroll strategy.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience).
- 5+ years of progressive payroll experience, including multi‑state U.S. payroll.
- Strong knowledge of U.S. payroll tax laws, wage‑and‑hour regulations, and compliance requirements.
- Demonstrated experience managing payroll audits, reconciliations, and controls.
- Hands‑on experience with payroll and HRIS systems (e.g., ADP, Workday, UKG).
- Advanced Excel skills (PivotTables, XLOOKUP, data analysis and validation).
- High attention to detail with strong analytical and problem‑solving capabilities.
- Proven ability to manage confidential information with discretion.
- Continuous improvement mindset with experience in process optimization or automation (Lean/Six Sigma a plus).
- Strong collaboration and communication skills across functions and levels.
- Nice to have: Experience with global payroll or multi‑country expansion.
- Equity compensation experience in a public company.
- Experience in a high‑growth or scaling organization.

Compensation
Full‑time role. Salary range: $104,200.00 – $149,800.00.
