Payroll & HR Administrator

We are seeking a detail-oriented and experienced Payroll & HR Administrator to join our growing team. The ideal candidate will have a strong background in HR generalist functions and automotive dealership operations, with the ability to manage payroll, employee records, benefits administration, compliance, and day-to-day HR support.

This is a hands-on role for someone who is organized, dependable, highly confidential, and comfortable working with employees and management at all levels.

Key Responsibilities
Human Resources & Employee Administration
  • Manage the onboarding process for all new hires.
  • Provide guidance and support to employees regarding HR policies, procedures, and applicable leave requirements.
  • Assist employees and management with FMLA and other applicable leave-related requirements.
  • Maintain accurate and confidential employee records.
  • Ensure compliance with HR-related requirements, including I-9 documentation and employment records.
  • Prepare and process all required hiring, onboarding, and termination paperwork, including COBRA notifications when applicable.
  • Maintain records related to vacation, sick leave, and other employee time-off eligibility.
  • Assist with interpreting and applying federal and state employment laws and company HR policies.
  • Provide HR systems and compliance support as needed.
Payroll Administration
  • Compile and verify payroll information, including hours worked, sales volume, bonuses, commissions, taxes, insurance deductions, retirement contributions, and other payroll-related items.
  • Review timecards for discrepancies and work with employees and managers to resolve issues.
  • Enter and maintain payroll information accurately within the company's payroll system.
  • Prepare and issue employee paychecks and maintain appropriate payroll records.
  • Update payroll records for changes affecting employee wages, including tax exemptions, insurance coverage, compensation increases, promotions, and departmental transfers.
  • Ensure payroll-related records and documentation are accurate, complete, and maintained in accordance with company policies and applicable regulations.
Benefits, Retirement & Compliance
  • Process employee insurance forms and coordinate insurance payments with the Office Manager.
  • Assist with compliance related to applicable laws and regulations
  • Handle unemployment claims and provide required documentation.
Qualifications
  • Automotive dealership experience is strongly preferred.
  • 2-3 years of HR generalist experience or equivalent business/administrative experience preferred.
  • Strong understanding of payroll processes and employee-related administrative functions.
  • Working knowledge of federal and state employment laws and general HR policies.
  • Strong attention to detail with excellent organizational and documentation skills.
  • Ability to collect, compile, review, and analyze information and data accurately.
  • Excellent written and verbal communication skills.
  • Ability to communicate professionally and effectively with employees, managers, and leadership.
  • Strong problem-solving skills and the ability to handle sensitive and confidential information appropriately.
  • Ability to explain payroll and HR-related issues clearly, patiently, and professionally.
  • Computer proficient with the ability to learn and effectively use company-specific software and systems.
  • Self-motivated, dependable, and eager to identify opportunities for improving processes and efficiency.
  • Valid driver's license with an acceptable driving record.

Experience in an automotive dealership environment is especially important, as this position requires an understanding of dealership payroll practices, commissions, bonuses, departmental structures, and the unique needs of dealership employees.
