Job Overview:
The Payroll and Total Rewards Analyst is responsible for managing and overseeing the accurate and timely processing of payroll for all employees, ensuring all data in the HRIS is accurate and up to date, and managing the overall total rewards strategy. This includes establishing a salary structure, ensuring market competitiveness of our global compensation rates and benefits offering as well as ensuring compliance with federal, state, and local regulations, and company policies. The Payroll and Total Rewards Analyst will also provide support to the HR department by being the main point of contact for the HRIS and maintaining employee records, addressing payroll, benefits and compensation inquiries, generating payroll reports, conducting compensation market research and global benefits benchmarking.
Key Responsibilities:
- Process global payrolls accurately and on time for salaried, hourly, and temporary employees.
- Participate in compensation market surveys and research available data to establish competitive global compensation rates for base compensation and incentives.
- Serve as the main contact for global benefits plans, administer the 401k plan and ensure timely contributions from payroll; ensure all our plans are compliant with all relevant regulations.
- Administrator on the 401k plan including enrollment, contributions, loans, payroll interface, required reporting and active participation in the 401k Administrative Committee.
- Responsible for US annual benefits enrollment involving recommending annual plan and contribution changes, updating the benefits guide, hosting annual enrollment meetings, and following up to confirm every employee completes the enrollment process.
- Prepare merit adjustment spreadsheets including performance rating, previous compensation increases and market data for annual merit increase process.
- Create and annually review salary grades and benchmark data to recommend annual merit increases.
- Evaluate incentive and commission plans for compliance, competitiveness, and effectiveness in driving desired behaviors and outcomes.
- Develop a rewards and recognition strategy that aligns Krayden’s core values to performance, recognition and corresponding rewards.
- Ensure compliance with federal, state, and local tax regulations, including accurate deduction management for benefits, taxes, and garnishments.
- Maintain and update employee payroll records, including new hires, terminations, PTO balances, and changes in pay rates.
- Liaise with HR and Finance teams to gather, review and input payroll-related data such as new hires, terminations, compensation changes and benefits deductions.
- Main point of contact for the HRIS system and expert on report writing for the organization.
- Respond to payroll inquiries from employees and resolve any discrepancies or issues promptly and by providing excellent customer service.
- Optimize the organization’s use of Ceridian Dayforce, including configuration improvements, workflow enhancements, and leveraging system capabilities for reporting and automation.
- Provide training and documentation related to Dayforce payroll processes and best practices.
- Support internal and external audits by providing necessary HRIS documentation and reports (401K Audit, Census & Benefit Reporting, etc.)
- Prepare and file required reports, including tax filings, year-end reports (401k plan discrimination testing, 5500s, W-2, T4 slips, ACA and 1095’s), and other regulatory compliance documentation.
- Ensure proper calculation of overtime, bonuses, and commissions, ensuring alignment with company policy and legal requirements.
- Oversee and manage Paid Time Off (PTO) for all employees, ensuring proper tracking and adherence to company policies in the HRIS system. This includes processing PTO requests and maintaining accurate records of available leave balances.
- Responsible for pulling, compiling, and analyzing various reports to support business operations and decision-making.
- Stay up to date with changes in payroll legislation and best practices to annually review the payroll policies and procedures, suggesting improvements to enhance efficiency and company adherence with all pertinent laws and regulations.
- Perform other duties as assigned.
Qualifications:
- 5+ years of experience in payroll processing with exposure to both U.S. and Canadian payroll systems and regulations.
- 5+ years of experience in global benefits and compensation including U.S., Mexico and Canada; experience in U.K., Philippines, Singapore and India preferred.
- Knowledge of federal and state/provincial benefits, compensation, and payroll laws and practices.
- Experience with Ceridian Dayforce, or UKG; as well as International Payroll providers (BluMarble).
- Familiarity with tax filings including W-2, 1099, and T4 reporting.
- Proficiency in Microsoft Excel and payroll reporting tools.
- High attention to detail, confidentiality, and analytical skills.
- Strong communication and interpersonal skills.
- Certification such as CCP, SHRM-CP, SHRM-SCP, PHR, SPHR, FPC/CPP (U.S.) or PCP/CPM (Canada) is a plus.
