Durham Exchange Club Industries (DECI) seeks a detail-oriented Payroll & Accounts Payables Specialist to manage payroll, deductions, timekeeping, and associated accounting tasks. This role supports both staff and program participants and helps maintain financial health for a mission-driven nonprofit.

The ideal candidate has payroll experience, proficiency with Paylocity or similar systems, and a solid foundation in Excel and basic accounting.

Qualifications

  • High school diploma or equivalent required with a minimum of two years' payroll processing experience.
  • Coursework or training in accounting, finance, or business is a plus.
  • Prior experience in accounts payable/receivable, or general accounting preferred.
  • Experience in nonprofit or human services environment is helpful but not required.

Responsibilities

  • Process payroll for staff and program participants with accuracy and timeliness.
  • Manage direct deposits, check distribution, and payroll reporting.
  • Maintain up-to-date employee deductions (health, dental, garnishments, 401(k), etc.).
  • Handle PTO balances and supporting documentation.
  • Process accounts payable invoices with accuracy and proper coding.
  • Prepare deposits for cafeteria related revenue.
  • Assist with year-end audit preparation and audits.

About the Role

We are seeking a detail-oriented and reliable Payroll & Accounts Payables Specialist to play a key role in supporting both our employees and the financial health of our organization. This position ensures accurate payroll processing while contributing to essential accounting operations that help sustain our mission.

What You’ll Do

Payroll Administration


  • Process payroll for staff and program participants with accuracy and timeliness

  • Manage direct deposits, check distribution, and payroll reporting

  • Maintain up-to-date employee deductions (health, dental, garnishments, 401(k), etc.)

  • Track PTO balances and maintain supporting documentation

  • Implement payroll updates from Human Resources and Program Services


Employee Benefits Support


  • Process Health Reimbursement Account (HRA) claims


Accounting & Financial Operations


  • Prepare and post accounts receivable transactions and deposits

  • Process accounts payable invoices with accuracy and proper coding

  • Ensure timely payments to maximize discounts and avoid late fees

  • Maintain financial reports for A/P, A/R, and fixed assets

  • Track, tag, and record fixed asset purchases and disposals

  • Assist in monitoring billing accuracy, including CAP billing audits

  • Prepare deposits for cafeteria related revenue


Compliance & Reporting


  • Maintain accurate records to support audits and financial reviews

  • Assist with year-end audit preparation


Additional Responsibilities


  • Provide backup support for front office and administrative operations

  • Manage incoming/outgoing mail and postage

  • Process wage verification requests

  • Distribute petty cash

  • Support team members and take on additional duties as needed

Requirements:

QUALIFICATIONS

Education & Experience


  • High school diploma or equivalent required with a minimum of two years' experience of payroll processing

  • Coursework or training in accounting, finance, or business is a plus

  • Prior experience in accounts payable/receivable, or general accounting preferred

  • Experience working in a nonprofit or human services environment is helpful but not required


Technical Skills


  • Experience with payroll systems and timekeeping platforms (Paylocity preferred)

  • Proficiency in Microsoft Office, particularly Excel

  • Familiarity with basic accounting functions such as A/P, A/R, and payroll reporting

  • Ability to learn and use accounting and financial software systems

  • Strong attention to detail and accuracy in data entry and financial processing

  • Ability to manage multiple responsibilities and meet deadlines

  • Strong organizational and record-keeping skills

  • Ability to maintain confidentiality of sensitive payroll and employee information
