Qualifications

  • Minimum 3 years of payroll experience with a corporation size >1,200 employees, multi-state.
  • Extensive knowledge of ADP or similar payroll software.
  • In-depth understanding of federal, state, and local tax laws and wage/hour rules.
  • Proficient in MS Office; advanced Excel with formulas, pivots, and VLOOKUP.

Responsibilities

  • Process ADP-generated payroll accurately and on time.
  • Maintain payroll files and tax reporting records.
  • Reconcile payroll to the general ledger and 941s/W-2s.
  • Answer employee payroll inquiries and resolve discrepancies.
  • Support payroll audits and respond with necessary documentation.
  • Stay updated on payroll legislation and implement improvements.

What You Will Do

We are seeking a payroll administrator! As our Payroll Administrator, you'll play a key role in ensuring more than 1,200 employees are paid accurately and on time each week. You'll partner with supervisors, HR, Finance, and employees to manage payroll processes, maintain compliance, resolve payroll inquiries, and help drive continuous improvements that support a seamless payroll experience across our multi-state workforce.

This on-site position, with hybrid flexibility, is located at our Headquarters in Oak Creek, WI. You will report directly to the Manager, Payroll.

How You Will Do It
  • Review and communicate necessary IFS time reporting corrections and adjustments to supervisors.
  • Transfer system-generated (IFS) time reporting information into ADP.
  • Process ADP-generated payroll accurately and on time.
  • Maintain files of ADP tax-filing and payroll summary reports.
  • Reconcile cash activity to payroll and ADP Tax Services reports.
  • Answer employees' inquiries about paycheck information.
  • Maintain spreadsheets that track and reconcile weekly payroll data.
  • Process manual checks to correct discrepancies and special payrolls, including annual bonuses.
  • Calculate new hire pay, termination pay, and any other required adjustments to regular pay.
  • Reconcile payroll reports to 941s and W-2s.
  • Maintain the general ledger with regard to payroll transactions.
  • Reconcile the payroll register to the general ledger and create necessary adjusting journal entries.
  • Prepare and submit annual workers' compensation report to insurance carriers.
  • Prepare journal entries and account analyses as assigned.
  • Process stop payments or payroll adjustments.
  • Calculate and deduct appropriate amounts from payroll checks, including tax withholdings and other garnishments. Ensure that computing, withholding, and deductions are done correctly.
  • Verify all overtime hours with the appropriate management personnel before issuing payroll checks.
  • Contribute to team effort by accomplishing related duties as needed.
  • Provide documents as requested by Human Resources.
  • Stay updated on changes in payroll legislation and recommend process improvements.
  • Assist with internal and external payroll audits by providing necessary documentation and explanations.
Required
  • High School diploma or GED from an accredited institution.
  • Minimum three years of experience in a payroll function with a corporation with a payroll size greater than 1,200 employees, including multi-state payroll.
  • Extensive knowledge of ADP or another payroll software tool.
  • In-depth understanding of federal, state, and local tax laws and regulations, including wage and hour laws, state unemployment insurance (SUI), and reciprocity agreements between states.
  • Proficient at MS Office, Advanced Excel skills including formulas, pivot tables, and VLOOKUP.
  • Exceptional accuracy in data entry and calculations to avoid costly errors and compliance issues.
  • Ability to research, analyze, and resolve complex payroll discrepancies and issues across different state regulations.
Preferred
  • An associate degree with a business emphasis is preferred from an accredited institution.
  • Experience in a manufacturing environment.
