Job description

The Payroll Administrator will play a crucial role in ensuring the smooth and efficient administration of payroll processes and assisting with day‑to‑day tasks. The Payroll Administrator will be responsible for processing payroll, investigating and resolving first‑level employee payroll issues, payroll reporting, and additional payroll‑related duties.

The ideal candidate will possess strong analytical skills, a solid understanding or desire to learn payroll principles, be passionate about supporting our people, and have the ability to thrive in a fast‑paced environment. Excellent verbal and written communication skills are key to success in this role.

RESPONSIBILITIES:

Payroll Processing:

  • Assist in the day‑to‑day activities of processing time, reporting, and payroll‑related duties, and reporting utilizing Viewpoint Vista payroll software.
  • Will be assigned specific payroll group(s) once fully trained to analyze, audit, reconcile, and resolve employee payroll issues to ensure smooth payroll processing for assigned payroll groups across all three companies.
  • Prepare and submit weekly certified payroll.
  • Own paycheck adjustments sheet.
  • Ensure accurate calculation of wages, fringes, tax withholdings, garnishments/liens, and company deductions.
  • Generate special "ad-hoc" payments as required.

Payroll Related Duties (Reporting, Employee Setup, etc.):

  • Be a strong support resource for company team members, acting as a key point of contact to resolve issues or questions regarding payroll, HH2 timekeeping system, federal sick pay leave accruals, wage deductions, fringe benefits, and other pay‑related questions or issues.
  • Own new hire setup in HH2 time tracking system.
  • For Union employees, handle the processing and submittal of union dues.
  • Manage federal paid sick leave – tracking, accrual balances, auditing, and approval of requests.
  • Extreme attention to detail when reviewing timecards, processing payroll, and performing other related duties on a daily basis.
  • Assist Payroll team with payroll related report and special tasks or projects, as assigned.

IDEAL EXPERIENCE & QUALIFICATIONS:

  • Bachelor's degree in Human Resources, Business, or a related field of study.
  • 1‑2+ years of experience with payroll processing.
  • CPP (Certified payroll professional) and/or FPC (Fundamental payroll certified) certifications preferred but not required.
  • Ability to work independently with a proactive approach to resolving complex payroll issues.
  • High degree of customer service focus experience.
  • Ability to perform under pressure in meeting payroll deadlines.
  • Strong interpersonal and communication skills, including the ability to communicate effectively with all levels of personnel.
  • Tech savvy – Strong software skills/HRIS systems/advanced Excel reporting skills (VLOOKUPs, pivot tables, etc.).
  • Ability to handle confidential information with sensitivity, discretion, and discernment.
