We are seeking a Payroll Accountant with strong expertise in US and Canada payroll processes, payroll accounting, tax compliance, and advanced reporting. The ideal candidate will have 5+ years of experience in full-cycle payroll accounting and payroll operations, with proven ability to manage outsourced vendors and support financial audits. Experience with Workday, Ceridian Dayforce, SAP, or similar ERP systems is highly preferred, along with the ability to drive process improvements and financial accuracy. You will play a key role in ensuring proper payroll accounting, tax filings, and reconciliations, contributing to the integrity of financial reporting.

The Payroll Tax Accountant is responsible for ensuring the accurate calculation, reporting, reconciliation, and remittance of federal, state, and local payroll taxes. This role partners closely with Payroll, Finance, Human Resources, and external agencies to maintain compliance with payroll tax regulations while supporting payroll operations and tax-related initiatives. The Payroll Tax Accountant monitors legislative changes, resolves tax discrepancies, and ensures timely tax filings and payments.

Key Responsibilities
Payroll Tax Compliance
  • Ensure timely and accurate remittance of payroll taxes and related payments.
  • Monitor compliance with payroll tax regulations and reporting requirements.
  • Research and interpret payroll tax laws and regulatory changes to assess business impact.
  • Maintain tax accounts and registrations across all applicable jurisdictions.
Payroll Tax Accounting & Reconciliation
  • Perform regular reconciliations of payroll tax accounts, general ledger accounts, and payroll records.
  • Investigate and resolve tax variances, discrepancies, notices, and agency inquiries.
  • Partner with Payroll and Finance teams to ensure accurate accounting of payroll tax liabilities and expenses.
  • Support month-end, quarter-end, and year-end close activities related to payroll taxes.
Audit & Reporting
  • Prepare schedules, documentation, and reports to support internal and external audits.
  • Respond to tax authority notices and coordinate resolutions with government agencies.
  • Assist in year-end reporting activities, including W-2 processing and reconciliation.
  • Maintain accurate records and documentation to support compliance requirements.
Process Improvement & System Support
  • Identify opportunities to improve payroll tax processes, controls, and efficiencies.
  • Participate in payroll system implementations, upgrades, testing, and process enhancements.
  • Collaborate with payroll vendors and internal stakeholders to resolve tax-related issues.
  • Develop and maintain standard operating procedures and process documentation.
Stakeholder Partnership
  • Serve as a subject matter expert for payroll tax matters.
  • Provide guidance to Payroll, HR, Finance, and employees regarding payroll tax questions.
  • Support multi-state payroll operations and employee mobility tax considerations.
Qualifications
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field.
  • 3-5 years of payroll tax, payroll accounting, or related accounting experience.
  • Strong knowledge of federal, state, and local payroll tax regulations.
  • Experience reconciling payroll tax filings.
  • Proficiency in Microsoft Excel and payroll systems.
  • Strong analytical, problem-solving, and organizational skills.
  • Excellent attention to detail and commitment to accuracy.
Preferred
  • Certified Payroll Professional (CPP) designation.
  • Experience with Workday, Dayforce, SAP.
  • Experience supporting multi-state payroll operations.
  • Public accounting, tax, or payroll compliance experience.
  • Knowledge of international payroll tax practices.

The base pay range for this position is: $87,620 - $120,483 Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

If this is a commission eligible position the commission eligibility will be in accordance with the terms of the Company's plan. Commissions are based on individual performance and/or company performance.
