Job Summary

The Contracts Specialist will be responsible for maintaining contract records, tracking deadlines and outstanding items, coordinating documentation, and driving timely follow-up with internal stakeholders and external payer partners. This individual will help ensure that contracts and amendments move efficiently from initial request through execution and implementation.

Key Responsibilities
  • Provide administrative and operational support throughout the payer and IPA contracting lifecycle.
  • Coordinate contract requests, applications, amendments, renewals, terminations, and supporting documentation.
  • Maintain accurate and organized electronic files for contracts, amendments, fee schedules, rate exhibits, correspondence, and related materials.
  • Update and maintain the organization’s contract management system or centralized contract repository.
  • Track contract status, effective dates, renewal dates, notice periods, outstanding documentation, and required follow-up[EL1] .
  • Maintain contracting trackers and provide regular status updates to Payer Operations leadership.
  • Follow up consistently with California IPAs, medical groups, health plans, and internal stakeholders to keep contracting activities moving forward. Assist with gathering and submitting organizational documents, including licenses, insurance certificates, W-9s, accreditation materials, ownership information, and service-location details.
  • Coordinate signature routing and confirm that fully executed agreements are received, distributed, and stored appropriately.
  • Support credentialing with provider enrollment, roster submissions, demographic updates, letters of agreement, and other payer-required documentation.
  • Review contracts and related documents for completeness, accuracy, and consistency before routing them for review or signature.
  • Coordinate with Revenue Cycle, Credentialing, Finance, Legal, Operations, and other departments to support accurate contract implementation.
  • Help communicate finalized contract terms and effective dates to the appropriate internal teams.
  • Track new locations, service lines, and market-expansion activities to ensure contracting needs are identified and completed on time.
  • Assist with researching and resolving contract-related questions, missing documentation, reimbursement discrepancies, and payer setup issues.
  • Prepare reports, summaries, meeting materials, and other documentation for contracting projects and leadership review.
  • Support audits and periodic reviews of contract files to ensure records are complete and current.
  • Identify opportunities to improve contracting workflows, tracking tools, documentation standards, and administrative processes.
Qualifications
  • Associate or bachelor’s degree in healthcare administration, business, finance, or a related field preferred.
  • Two or more years of experience in healthcare contracting, payer relations, provider network operations, credentialing, revenue cycle, or a related function.
  • Experience supporting contracts or business relationships with California IPAs and medical groups is strongly preferred.
  • Familiarity with the California managed care environment, including IPAs, delegated medical groups, and health plans.
  • Basic understanding of healthcare contracts, reimbursement terms, fee schedules, provider enrollment, and authorization processes.
  • Demonstrated ability to manage multiple assignments, deadlines, and follow-up items simultaneously.
  • Proficiency with Microsoft Excel, Word, Outlook, and contract-tracking or document-management systems.
  • Ability to handle confidential and sensitive business information appropriately.
  • Experience in infusion therapy, specialty pharmacy, ambulatory healthcare, or another specialty provider environment is preferred.
