Job summary

Michigan Medicine seeks a clinic operations support specialist for the Pediatric Specialties ACU and GI Division, including off-site Brighton. You will coordinate communication among physicians, nurse providers, staff and patients to ensure efficient care and smooth clinic operations.

Key duties include processing lab results, managing inbasket messages, handling documentation, and supporting Lean in Daily Work for continuous quality improvement in a collaborative team environment.

Qualifications

  • High School diploma or equivalent.
  • 3–4 years experience in a large, complex healthcare system.
  • Experience with EMR and standard business software.
  • Solid knowledge of office practices and medical documentation.
  • Strong interpersonal and communication skills.
  • Demonstrated active listening and IT skills.

Responsibilities

Provide clinic operational support to the Pediatric Specialties ACU and the GI Division including off site locations (Brighton) in an ambulatory care clinic setting. Coordinate and facilitate communication between physicians, nurse providers, clinic personnel, and patients regarding issues relevant to medical care. Assist in identifying and resolving clinic operational problems and help train new staff members on the clinical support operations. Individuals must maintain excellent rapport in person or via the telephone with patients, faculty, and staff, within a team setting. Participate fully in the Lean in Daily Work (LIDW) model of continuous quality improvement.



  • Fax Server Management; distribute faxes to nursing providers, verify document information in MiChart as needed.

  • Correspond with Providers to obtain additional documentation and medical records from referring providers

  • SignNow Management

  • Inbasket Management: Review and triage all in basket messages and forward to appropriate fellow or provider for follow up.

  • Process Lab Results, Radiology Images and Biopsy Slides

  • Obtain Medical Records

  • Process FMLA paperwork, school forms, Camp Oasis form, college accommodation forms, etc.

  • Perform other related duties as assigned

  • Provide backup coverage for other PSI roles as identified by leadership.


Required Qualifications


  • High School diploma or an equivalent combination of education and experience is necessary.

  • 3-4 years experience within a large, complex healthcare system.

  • Experience and proficiency in utilizing computer including standard business computing programs and EMR.

  • Must have a solid knowledge of general office practices and ability to understand medical documentation, coding and diagnosis.

  • Strong interpersonal and communication skills are necessary.

  • Demonstrated active listening, written, verbal and information technology skills.

  • Ability to manage stress effectively.

  • Demonstrated excellent attendance and reliability.

  • Ability to work collaboratively and seamlessly as an integral member of the team.

  • Track record of observing and executing patient confidentiality protocol.

  • Ability to take initiatives and exercise critical thinking skill to effectively solve problems and improve quality with the framework of patient care support protocols.


Desired Qualifications


  • Experience with pediatric population.

  • Solid understanding of computer systems, and Microsoft Office applications.

  • Proficiency in Medical Terminology.

  • Previous experience with MiChart Cadence/Epic system.

  • Seek constructive approach to resolving workplace issues.

  • Respond positively to change, showing willingness to learn new ways to accomplish work.

  • Adhere to high standards of teamwork by demonstrating adaptability, flexibility, and consistently sharing information and resources with others.

Modes of Work
