Job summary

Mass General Brigham is seeking an Administrative/Clerical specialist to support the Neurology & Stroke Recovery practice at 15 Parkman Street. You will perform scheduling, patient check-in/out, billing processing and serve as a systems Super User to assist registration and billing activities.

The role supports a Monday–Friday, 8:30am–5:00pm hybrid schedule with generous benefits including medical, dental, vision, retirement, tuition assistance, and MBTA fare discounts.

Qualifications

  • Education: High School Diploma or Equivalent.
  • Experience: office experience 3-5 years required.
  • Strong technology and MS Office skills.
  • Advanced Outlook, Word, Excel, PowerPoint knowledge of office operations and standards.
  • Ability to use phone system and manage non-routine calls and issues.
  • Clear written communication and message taking.
  • Time management and organization for multiple tasks.

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries and schedule appointments.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Act as Super User for scheduling, registration and billing systems and train others.
  • Provide guidance to Office and Practice Assistants and oversee daily activities of staff.
  • Handle co-payments and manage messages related to authorizations, prescriptions, and test results.

Job Summary

Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations, under minimal supervision. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level).

Essential Functions
  • -Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • -Make patient appointments and maintain appointment records.
  • -Assist callers with routine inquiries and schedule appointments.
  • -Process patient billing forms and scan documents to patient medical record/LMR.
  • -Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • -Provides functional guidance to Office and Practice Assistants.
  • -In conjunction with Supervisor oversees daily activities of practice staff.
  • -May be required to accept co-payments. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.

  • -Advanced Outlook, Word, Excel, PowerPoint Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • -Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • -Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • -Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • -Managing one's own time and the time of others.
  • -Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • -Ability to proofread and edit written documents.

Compensation: The pay rate for this position starts at $20.00 per hour, with increases based on the candidate's years of experience.
