Job summary

Welia Health Eye Clinic is seeking a courteous front desk associate to register patients, verify demographics and insurance, schedule appointments, collect co-pays, and direct visitors. You will coordinate with medical staff to ensure smooth patient flow and accurate documentation in a fast-paced clinic.

Strong customer service, attention to detail, and basic computer skills are essential. Prior clerical experience and knowledge of insurance are preferred, especially in an eye care setting.

Qualifications

  • Ability to handle cash drawer and process payments.
  • Strong customer service and phone skills with clear communication.
  • Knowledge of medical terminology and data entry.
  • Preferred: clerical experience and private insurance payer knowledge.
  • Previous experience in an eye clinic is a plus.

Responsibilities

Job description

Department: Eye Clinic Reports To: Patient AccessManager

SUMMARY

Registers, verifies patient information, instructs, directs and schedules patients and visitors. Demonstrates positive customer service and quality commitment skills through timely and courteous assistance of all phone calls and walk-in visitors to the clinic. Serves as liaison between patient and medical support staff.Perform a variety of eye tests and verifies orders.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Pre-registers patients by collecting current patient demographics and insurance information.
  • Schedules patient appointments following site or providers scheduling protocol. Verifies and updates patient demographics and insurance information. Notifies patients of pertinent visit information i.e.; co-pay reminders, clinic directions and appropriate check-in times.
  • Greets and checks-in patients. Verifies and inputs demographic data; obtains and scans a copy of new insurance card; and obtains signatures for billing purposes. Collects and issues receipt for co-pay.
  • Verifies, scans and documents insurance eligibility using online computer access.
  • Answers switchboard/department phone, transfers calls to appropriate department, takes accurate messages and provides information concerning the clinics and its services. Maintains work area and patient areas in neat and orderly manner.
  • Performs related work as required, which includes but is not restricted to various clerical tasks such as sorting and mailing other correspondence. May create and maintain provider schedules.
  • Screens telephone calls or walk-in patients as per site guidelines for purpose of prioritizing the scheduling of appointments.
  • Schedules patients per multiple provider requests.
  • Verify contact lens orders, label for patient, and patient notification.
  • Perform other duties as assigned. May assist with preparing patients for exams, rooming patients, and/or dispensing contact lenses.
  • Supports the policies and procedures of the health system and the standards of the Joint Commission as required for full accreditation.
EDUCATION and/or EXPERIENCE

Ability to handle and manage a cash drawer. Requires strong customer service and phone skills, as well as excellent interpersonal skills with exceptional communication and listening skills giving the ability to quickly connect with customers.

Skills in using a keyboard, mouse, PC, scanner and printer. Knowledge of medical terminology, spelling and punctuation to type patient information.

Preferred: Clerical experience and private insurance payer knowledge strongly desired. Previous experienve working in an eye clinic.

Specific vision abilities required by this job include close vision, color vision, peripheral vision, and ability to adjust focus.
