Job summary

Northwestern Medicine is seeking a Patient Service Representative to support patient check-in/out, registration, and payment collection at our Chicago-area campus. The role emphasizes excellent customer service, accuracy in data entry, and timely communication of delays or changes in appointments.

Hours are Monday through Friday, 8:00 am to 4:30 pm. Ideal candidates have a high school diploma or GED, 0–2 years in customer service, and may benefit from healthcare exposure or bilingual skills.

Qualifications

  • High school diploma or GED is required; a bachelor’s degree is preferred.
  • Experience in customer service is expected; healthcare background is a plus.
  • Bilingual abilities are advantageous for this role.

Responsibilities

  • Greet and assist patients and guests, confirm identity, and provide visit information.
  • Complete check-in/out functions and update demographic/insurance data.
  • Handle patient registration, consents, and collect co-payments and balances.
  • Post payments, manage billing info, and close the cash drawer at day end.
  • Maintain waiting area cleanliness and communicate delays or changes.
  • Schedule appointments and, if needed, float to other ICCs/departments.

The salary range for this position is $18.64 - $26.10 (Hourly Rate)

Placement within the salary range is dependent on several factors such as relevant work experience and internal equity. For positions represented by a labor union, placement within the salary range is guided by the rules outlined in the collective bargaining agreement.

Description

Work Hours: Monday - Friday, 8am to 4:30pm

The Patient Service Representative reflects the mission, vision, and values of Northwestern Medicine, adheresto the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies,procedures, guidelines and all other regulatory and accreditation standards.

The Patient Service Representative supports the service area by checking patients in and out of appointments.This role will consistently demonstrate exemplary customer service when assisting patients and guests.

Responsibilities
  • Communicates with patients and guests including greeting them upon arrival, confirming identity andproviding necessary information related to their visit.
  • Completes check-in/out functions as directed.
  • Confirms and updates patient identification and demographic/insurance information.
  • Completes patient registration as needed.
  • Obtains patient consents/authorizations.
  • Collects co-payments, past due balances and point of service payments.
  • Posts payments, process billing information and perform “end of day” cash drawer closing.
  • Keeps waiting area clean and comfortable.
  • Informs patients of any delays or changes in appointment status.
  • Schedules appointments as necessary.
  • For PSRs in the Immediate Care Clinics (ICC), float to other ICCs/departments.
  • May perform other duties as assigned.
Qualifications
Required
  • High school diploma or GED equivalent.
  • Zero (0) to two (2) years’ experience in a customer service position.
Preferred
  • Bachelor’s degree.
  • Previous experience in a healthcare setting.
  • Working knowledge of medical terminology.
  • Bilingual.
