California Rehabilitation and Sports Therapy seeks a Patient Services Representative to join PRN Family of Brands in Newport Beach. You will provide courteous front-desk service, schedule appointments, verify patient data, and support the clinic with administrative tasks.

The role offers full-time hours, Monday–Friday, with pay between $19 and $22 per hour and a comprehensive benefits package. Join a team focused on patient care and efficient clinic operations.

Qualifications

• High school diploma or equivalent; additional education in healthcare administration is a plus.
• Proven experience in a customer service role; healthcare setting preferred.
• Proficiency in using office software and scheduling systems.
• Strong interpersonal skills and the ability to maintain professionalism in a fast-paced environment.
• Attention to detail and accuracy in handling patient information and documentation.

Responsibilities

• Greet and welcome patients with professionalism and warmth.
• Schedule appointments and answer patient inquiries by phone or in person.
• Verify patient information and insurance details accurately.
• Support a positive clinic culture by addressing patient needs during therapy transitions.
• Maintain patient records and ensure documentation is complete.
• Keep front desk neat and organized.
• Coordinate with clinical staff to ensure a seamless patient experience.
• Assist with front desk tasks when idle: calls, scanning, scheduling, payments.
• Liaise between patients, clinical staff, and other departments.
• Communicate clearly to address patient concerns.
• Maintain reception area cleanliness and organization.
• Manage inventory and order office supplies as needed.
• Participate in team meetings and suggest process improvements.
• Ensure therapy areas and equipment are clean and organized.

About The Role

As a Patient Service Representative at PRN Physical Therapy, you'll be an essential part of our team, providing exceptional customer service and administrative support to ensure a smooth and positive experience for our patients.

Brand: Cal Rehab & Sports Therapy

Pay: $19-22/hr (benefits offered)

Schedule: Full time - clinic is open M-F 7am-6:20pm

Location: 200 Newport Center Dr #213, Newport Beach, CA 92660

Duties & Responsibilities

Patient Interaction:

• Greet and welcome patients with professionalism and warmth.
• Schedule appointments and manage patient inquiries both in person and over the phone.
• Collect and verify patient information, insurance details, and necessary documentation accurately.
• Help create a positive work environment and clinic culture by ensuring the patient’s needs are taken care of during transitional periods of therapy. Help provide customer service, a smile.
  

Administrative Support

• Maintain patient records and ensure all documentation is complete and accurate.
• Assist in keeping front office area neat, tidy and organized.
• Coordinate with clinical staff to ensure seamless patient experience.
• Assist front office with front office tasks when down time occurs including but not limited to: answering the phone, scanning documents into charts, scheduling patients, taking over the counter payments, filing, faxing, etc.
  

Communication And Coordination

• Liaise effectively between patients, clinical staff, and other departments within the facility.
• Communicate clearly and professionally to address patient concerns or questions.
  

Miscellaneous Operations

• Maintain a clean and organized reception area.
• Assist in managing inventory and ordering office supplies as needed.
• Participate in team meetings and contribute ideas for process improvement.
• Ensure cleanliness and organization of therapy areas and equipment. Daily equipment cleaning, cleaning tables, laundry, stocking supplies.
