Job summary

Responsibilities

  • Greet patients and visitors in person and by telephone.
  • Schedule, confirm, reschedule, and cancel appointments.
  • Respond to patient communications via phone, portal messages, and email.
  • Provide exceptional customer service and maintain a positive patient experience.
  • Register new patients in the EHR.
  • Provide health center orientation and information to new patients and families.
  • Verify and update patient demographic, insurance, and eligibility information.
  • Collect co-pays and balances per organizational policies.
  • Assist patients with insurance questions and basic billing inquiries.
  • Participate in daily or departmental huddles and meetings.
  • Support patient outreach initiatives, reminders, and recall campaigns.
  • Maintain communication with providers and staff for coordinated care.
  • Monitor patient flow and communicate scheduling delays.
  • Assist patients with barriers to care by connecting resources.
  • Maintain a clean, organized front desk area.
  • Assist with inventory of office supplies and forms.
  • Open, sort, and distribute mail; report facility concerns as needed.
  • Participate in emergency response procedures.

Job Title: Patient Service Representative (PSR)

Department: Clinical Services

Status: Full-Time Non-Exempt

Location: 6374 N Lincoln Ave, Chicago, IL 60659

Reports To: Practice Manager

Compensation: $21–$26/hour, based on experience

The Patient Service Representative (PSR) is the first impression patients and visitors receive of Midwest Refuah Health Center. This role is a key member of the care team, responsible for providing exceptional customer service, supporting patient access, coordinating appointments, maintaining accurate patient information, and ensuring efficient front-office operations. The PSR works in a confidential healthcare environment and supports the organization's mission of delivering high-quality, patient-centered care. This position may require evening and weekend hours based on departmental needs.

Duties and Responsibilities

  • Welcome patients and visitors in person and by telephone, answering inquiries or directing questions to the appropriate staff member.
  • Schedule, confirm, reschedule, and cancel appointments while optimizing provider schedules and patient access.
  • Respond promptly and professionally to patient communications, including phone calls, voicemails, portal messages, and emails.
  • Deliver exceptional customer service and maintain a positive patient experience.
  • Register new patients in the electronic health record (EHR) system.
  • Provide health center orientation and information to new patients and families.
  • Verify and update patient demographic, insurance, and eligibility information.
  • Collect co-payments, balances, and other patient payments in accordance with organizational policies.
  • Assist patients with insurance-related questions and basic billing inquiries.
  • Participate in daily or departmental team huddles and meetings.
  • Support patient outreach initiatives, appointment reminders, recall campaigns, and other patient engagement activities.
  • Maintain communication with providers, clinical staff, and administrative team members to support coordinated patient care.
  • Monitor patient flow and communicate scheduling delays when appropriate.
  • Assist patients who may be ill, distressed, or experiencing barriers to care by connecting them with appropriate resources and support services.
  • Maintain a clean, organized, and professional reception area.
  • Assist with inventory management of office supplies, forms, and front-desk materials.
  • Open, sort, and distribute incoming mail and correspondence.
  • Submit maintenance requests and report facility concerns as needed.
  • Participate in emergency response procedures and assist with coordinating emergency services when required.
  • Perform other duties as assigned.

Required Skills and Abilities

  • Ability to interact professionally and compassionately with diverse patient populations, including individuals who may be ill, distressed, anxious, or experiencing behavioral health challenges.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Basic computer proficiency, including experience with scheduling systems, electronic health records, Microsoft Office, and email.
  • Knowledge of HIPAA and patient confidentiality requirements.
  • Ability to work effectively as part of a multidisciplinary team.

Education and Experience

  • High school diploma or equivalent required.
  • Previous healthcare, medical office, behavioral health, dental, customer service, call center, or administrative experience preferred.
  • Experience with electronic health records and patient scheduling systems preferred.
  • Bilingual skills are a plus.

Physical Requirements

  • Prolonged periods of sitting at a desk and working on a computer.
  • Frequent use of telephone and computer systems.
  • Ability to stand, walk, and move throughout the facility as needed.
  • Must be able to lift up to 25 pounds occasionally.
