Job summary

Health First is seeking a Patient Service Representative II to provide friendly, efficient patient experience through registration, appointment scheduling, and clerical support across Health First Medical Group. You will assist with multiple clinical specialties and maintain accurate patient data in the management system.

The role requires strong communication skills, proficiency with EHR systems, and the ability to manage schedules and patient inquiries in a fast-paced environment.

Qualifications

  • High School Diploma or equivalent required.
  • At least 2 years’ experience with electronic health records system (EHR) OR 2 years’ healthcare experience.
  • CPR/AED or Health First certification options must be completed and maintained within specified timelines.
  • Background check requirements apply for certain clinics per Florida regulations.
  • Proficiency in Microsoft Office and healthcare terminology; strong verbal and written communication.

Responsibilities

  • Prioritize work and manage time efficiently.
  • Collect demographics and insurance information and input into the patient management system accurately.
  • Obtain required signatures on consents and provide patient information and compliance literature.
  • Schedule and coordinate patient appointments and referrals in a timely, friendly manner.
  • Answer telephones professionally and relay messages to the appropriate party.

Job description

Position Summary

The Patient Service Representative II provides friendly, efficient, and accurate patient experience by demonstrating outstanding customer service skills and using technology to manage patient care including registration, appointment scheduling, assisting other clinical specialties, and assistance with a variety of departmental projects and clerical duties.

Primary Accountabilities
  • Ability to prioritize work and manage time efficiently.
  • Obtains demographic and insurance information from patient and inputs data accurately into the patient management system.
  • Obtains required signatures on consents and distributes patient information and compliance literature.
  • Processes and maintains all schedules for the area of responsibility, communicates schedule changes as needed.
  • Ability to analyze and recognize trends/issues and escalates to management.
  • Assists with training new staff on department specific procedures and applications.
  • Facilitates patient appointments and referrals in a timely, efficient, and friendly manner.
  • Answers telephones properly, courteously, and tactfully; directing calls and returning messages to the appropriate party; takes complete and accurate messages.
  • Ability to perform all Patient Service Representative duties in various specialties across Health First Medical Group.
  • Collects all current and past-due patient responsibility balances.
  • Prepares financial estimate of anticipated prices for services prior to services being rendered and communicates estimated cost to the patient.
Minimum Qualifications
  • Education: High School Diploma or equivalent.
  • Work Experience: Any one of the following:
  • Two (2) years’ experience with electronic health records system (EHR) OR
  • Two (2) years’ relative healthcare experience.
  • Licensure: None
  • Certification: Any one of the following:
  • American Heart Association (AHA) HeartSaver CPR AED Course Certification prior to start date and maintained OR
  • Health First Medical Terminology Course Certification within ninety (90) days of start date and maintained OR
  • Health First Insurance 101 Course Certification within ninety (90) days of start date and maintained OR
  • Health First Safety and Security De-escalation Course Certification within ninety (90) of start date and maintained.
  • Background Check: If hired into Memory Disorder Clinic OR Health First Aging: Satisfy the State of Florida, Agency for Healthcare Administration (ACHA) Level 2 background screening.
  • Skills/Knowledge/Abilities:
  • Knowledge of Microsoft Office applications – Outlook, Teams, Word, Excel, etc.
  • Excellent verbal and written communication skills.
  • Ability to relate well to all customers.
  • Knowledge of Healthcare terminology.
Preferred Qualifications
  • Education: Associate’s degree in relevant field.
  • Work Experience: Five (5) years of Healthcare office experience.
Physical Requirements
  • Majority of time involves sitting or standing; occasional walking, bending, and stooping.
  • Long periods of computer time or at workstation.
  • Light work that may include lifting or moving objects up to 20 pounds with or without assistance.
  • May be exposed to inside environments with varied temperatures, air quality, lighting and/or low to moderate noise.
  • Communicating with others to exchange information.
  • Visual acuity and hand-eye coordination to perform tasks.
  • Workspace may vary from open to confined.
  • May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
