Job description

Summary: Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations, under minimal supervision. Handles administrative duties related to patient visits including scheduling, check-in, check-out duties, and performs all duties of other levels at the highest proficiency level.

Essential Functions:

  1. Perform routine administrative and clerical duties related to a clinical service or physician practice office. Make patient appointments and maintain appointment records. Assist callers with routine inquiries and schedule appointments. Process patient billing forms and scan documents to patient medical record/LMR.
  2. Act as "Super User" for scheduling, registration, and billing systems. Provide assistance and training to others in these areas. Perform more complex or specialized functions (e.g., surgical scheduling, schedule changes/blocking) at a more advanced competency level.
  3. Provide functional guidance to Office and Practice Assistants.
  4. In conjunction with Supervisor, oversee daily activities of practice staff.
  5. May be required to accept co-payments. Handle, screen, and/or take messages related to prior authorizations, provider questions, prescription refills, and test results.

Education:

High School Diploma or Equivalent required.

Experience:

Office experience 3-5 years required.

Knowledge, Skills, and Abilities:

  • Strong technology and MS Office skills - Advanced Outlook, Word, Excel, PowerPoint.
  • Knowledge of office operations, standards, and procedures including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system and manage non-routine calls and routine issues.
  • Effective written and verbal communication skills.
  • Ability to understand and compose work-related documents clearly and accurately.
  • Good time management and organizational skills to handle multiple tasks efficiently.
  • Ability to proofread and edit written documents.
