Job Description

Greet all patients and visitors to the practice in a professional, timely, and respectful manner. Effectively interact with a diverse population.

  1. Answer all incoming phone calls utilizing courteous customer service skills.
  2. Schedule patient appointments, including imaging services appointments.
  3. Maintain confidentiality and privacy consistent with HIPAA guidelines.
  4. Monitor and oversee provider schedules to ensure accurate and timely appointment scheduling.
  5. Adjust imaging schedules when necessary, in accordance with practice policies. Contact patients to communicate schedule changes and ensure timely rescheduling.
  6. Troubleshoot workflow and scheduling issues to ensure efficient daily operations.
  7. Address emerging patient concerns promptly and appropriately.
  8. Provide cross-coverage for other administrative staff during absences, vacations, and workflow variations.
  9. Collaborate with leadership on departmental projects.
  10. Perform other duties appropriate to this position.
Qualifications - External
  • High School Diploma or GED required; college education preferred.
  • Exceptional customer service skills.
  • Strong interpersonal, organizational, and time management skills.
  • Ability to work collaboratively and independently.
  • Knowledge of computer modules of Epic, including appointment scheduling, referral management, and electronic medical records.
  • Good command of the English language.
  • Demonstrates initiative, responsibility, and ownership of work.
  • Ability to problem-solve and resolve complex issues, seeking guidance when needed.
  • Ability to multi-task, prioritize, and maintain composure in a fast-paced environment.
  • Knowledge of hospital, state, and federal regulatory requirements, including HIPAA, JCAHO, and hospital policies.

Associate's Degree preferred. High School Diploma or equivalent required.
