Job summary

Excelsia Injury Care is seeking an administrative assistant to support our patient services team. You will handle inquiries, collect information, and route calls efficiently while maintaining HIPAA compliance.

Responsibilities include basic office tasks, updating spreadsheets, emailing, and coordinating with doctors, attorneys, and patients. The role requires strong communication skills and the ability to multitask in a fast-paced environment.

Qualifications

  • High school diploma or GED required.
  • Knowledge of insurance plans, workers’ compensation, and HIPAA guidelines.
  • Excellent verbal and written communication skills.
  • Proficiency with Windows, Outlook and Microsoft Office.
  • Ability to multitask and work independently.

Responsibilities

  • Directly manage patient communications and document needs.
  • Answer calls, collect information, and route according to protocols.
  • Provide basic administrative tasks: emails, updating spreadsheets, e-faxing.
  • Follow HIPAA regulations and protect patient information.
  • Collaborate with doctors, attorneys, patients, and coworkers.

Duties:

  • Ensure customers' expectations are exceeded by directing and communicating patient needs effectively and efficiently
  • Answer phone calls courteously, collect and document detailed information, and routephone calls appropriately based on office protocols
  • Efficiently provide basic office administrative support tasks such as emails, updating spreadsheets, e-faxing, etc.
  • Follow HIPAA regulations
  • Communicate efficiently via phone and email
  • Communicate information to patientsregardingprocedures being, or to be, performed
  • Work as part of a teamand alsowork independently
  • Other duties as assigned

MinimumRequirements

  • High School diploma or GED equivalent
  • Knowledge of insurance plans, workers’ compensation, personal injury, and HIPAA guidelines
  • Excellent verbal and written communication skills
  • Knowledge of computer applications, including Windows, Outlook, and Microsoft Office
  • Strong problem solving and organizational skills
  • Ability to multi-task
  • Confidence in working independently
  • Typing – 50+ WPM
  • Ability to effectively interact with doctors, attorneys, patients, and co-workers
