JOB SUMMARY

Performs receptionist, secretarial and patient registration duties utilizing specific knowledge of medical terminology and hospital, clinic, procedures. Duties include scheduling appointments, pre-registrations, registrations, handling referrals, and compiling and recording medical charts, reports, and correspondence, benefit verification, treatment prior and re-authorization, and collecting co-payments. Reports to the Registration Lead/supervisor and Director of Revenue Cycle.

  • Maintains hospital standards for a clean and quiet patient environment to maintain a positive patient care experience.
  • Maintains competency and knowledge of current standards of practice, trends, and developments in related scope of job role or practice.
  • Adheres to infection-control policies and protocols, medication administration and storage procedures, and controlled substance regulations.
  • Participates in ongoing quality improvement activities.
  • Maintains compliance with organization’s policies, as well as established practices, protocols, and procedures of the position, department, and applicable professional standards.
  • Complies with organizational and regulatory policies for handling confidential patient information.
  • Demonstrates excellent customer service through his/her attitude and actions, consistent with the standards contained in the Vision, Mission, and Values of the organization.
  • Adheres to professional standards, hospital policies and procedures, federal, state, and local requirements, and DNV standards and/or standards from other accrediting bodies.
ESSENTIAL FUNCTIONS
  • Greet and interview all patients for registration and enter information into the computer correctly.
  • Complete required registration forms (MSP, ABN's, waiver, etc.) and obtain authorized signatures.
  • Place identification bands on the patient.
  • Obtain bed assignment information for patient from Nursing Supervisor.
  • Complete all PAT and OP pre-registrations: Call patient to verify current insurance and demographic information and enter into computer. Provide patient with arrival directions.
  • File fax orders in appropriate files.
  • Take patient and/or employee payments, such as co-pays, and record payment appropriately as described in department policies and procedures.
  • Verify that money in the safe is accurate at shift end as described in department policies and procedures.
  • Receive and place all outgoing and incoming telephone calls.
  • Answer and complete all paging with the hospital.
  • Update census sheet with admissions and discharges.
  • Copy series orders and place ID band on patients.
  • Receive all incoming messages for the answering service and relay message to physicians and members of the service.
  • Log all messages and physician telephone calls.
  • Monitor alarm system.
  • Page all emergency codes in accordance to policies and procedures.
  • Act as general information center within the hospital.
  • Answer the phone properly, by greeting in a friendly manner; transferring phone calls when needed; asking the customer if you can place them on hold before transferring.
  • Monitor patient traffic to ensure patients do not wait unnecessarily.
  • Be knowledgeable of and gather health insurance information for billing purposes.
  • Maintains patient confidentiality and adheres to HIPAA guidelines.
  • Escort patients from waiting room to registration booth and then to the department they are receiving care. May need to push patients in wheelchairs or provide assistance with walking.
  • For emergency patients, will need to take a computer on wheels to the emergency department for bedside registration.
  • Perform routine typing and clerical duties.
  • Make department director aware of all sensitive situations which would affect the department or hospital.
  • May cover the Front Desk Reception or other door coverage as needed.
  • Other duties as assignment by Management to effectively run the department.
JOB REQUIREMENTS
  • High School Diploma (or GED or High School Equivalence Certificate) strongly preferred.
  • One year previous medical office and patient registration experience strongly preferred.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Computer literacy, good typing skills is necessary.
  • Knowledgeable of insurance providers is a plus.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Self-starter with the ability to adapt.
  • Excellent communication skills.
  • Ability to function as a team player.

  • Works in a patient care setting where there is potential exposure to blood, body fluids, infectious materials; and electrical, fire, chemical, physical contact and equipment hazards.
  • Fast-paced setting with rapid patient turnover.

  • Sufficient mobility to negotiate physical plant.
  • Strength and endurance sufficient enough to perform physically for long periods of time without sitting (four to eight hours). May include: walking; lifting 25 – 50lbs with or without assistance; bending; twisting; standing; sitting; reaching; stair-climbing and descending.
  • Physical dexterity and psychomotor skills to respond adequately and appropriately to routine and emergency patient care needs in an ambulatory setting.
  • Visual and auditory capabilities sufficient to read information and respond to patient care needs.
  • Ability to work in a computerized environment that includes prolonged sitting and use of keyboard, mouse, and monitor.
  • Cognitive ability to accurately observe, analyze, and interpret general and technical data both verbal and written to accurately communicate this information.
