Job Summary:
Responsible for the accurate and timely registration and scheduling of patients. Will work in a variety of settings including ER, Admitting, and the Scheduling Office. Also provides coverage for switchboard operators and scheduling staff. Register patient accounts, insurance, and ensure authorizations are valid.
Responsibilities
Essential Functions
- Initiates patient registration by conducting thorough interviews to obtain accurate demographics and insurance information. Completes all non-patient registrations accurately.
- Obtains signatures from patients or their representatives to ensure proper documentation in Medical Records.
- Verifies insurance eligibility, benefits, and mailing address within 24 hours of admission for inpatient, observations, and SDC accounts.
- Collaborates with patient care staff for bed assignments and notifies emergency department and physicians of bed availability. Ensures timely delivery of charts to the floor.
- Verifies insurance eligibility for outpatient accounts.
- Gathers surgery information from surgeons' offices and generates pre-operation and surgical account numbers to facilitate patient flow to SDC.
- Supports pre-operative testing admissions, ensuring smooth patient flow with correct account information.
- Prioritizes work based on customer needs and manages workload accordingly.
- Performs all duties related to scheduling operations when assigned.
- Files outpatient orders accurately and maintains knowledge of standing orders and MD expiration notifications.
- Assists in training new employees on patient access processes.
- Maintains knowledge of registration policies and procedures, providing coverage for ED registration staff during breaks and high-volume periods.
- Familiar with downtime procedures for registration systems.
- Contributes to system improvements for department efficiency.
- Displays a positive attitude, cooperates, and maintains professionalism.
- Ensures compliance with Heywood’s performance standards, including telephone etiquette, patient directions, and first impressions.
- Performs all responsibilities at the receptionist desk as assigned.
- Accesses electronic payers for eligibility information and registers MABRs within one hour of receipt.
- Coordinates with insurance companies and MD offices to ensure authorizations are complete and accurate.
- Immediately reports any backlogs or issues affecting duties to the supervisor.
- Participates in department meetings (minimum 8 per year).
- Handles switchboard duties as assigned, completing all related responsibilities.
- Processes status changes accurately and notifies insurance companies if needed.
- Ensures correct spelling of all information, especially diagnoses.
- Prepares daily, weekly, and monthly data and statistics, including the daily duty board.
- Inputs and scans insurance authorizations when paperwork is provided.
- Recognizes problems and contacts insurance companies or MD offices for resolution.

Qualifications
Job Requirements
Minimum Education: High school diploma or equivalent; additional training preferred.
Minimum Work Experience: Knowledge of medical terminology, spelling, and computers essential. Experience with billing, referrals, third-party payers, and Meditech preferred.
Required Skills: Excellent communication skills, multitasking ability, courteous interaction with patients, staff, and physicians, and high accuracy for patient care and billing.
