PATIENT OUTREACH AND ENROLLMENT SPECIALIST

PURPOSE

Under the direction of the Clinical Research Recruitment Manager, the Patient Outreach and Enrollment Specialist (POES) spearheads recruitment efforts for enrolling research studies. The POES is responsible for finding, developing, and owning relationships with key partnerships within the community that lead to significant patient referral volume, happy partners, and well-served patients within our communities. The POES will expand the organization’s network by building relationships and has a strategic approach to marketing, engaging healthcare providers and community partners to establish a trusted network of referral sources.

Responsibilities

  • Demonstrate a comprehensive knowledge of Rovia’s clinical research by working collaboratively with study staff, having a keen understanding of protocols, and familiarity with patient populations
  • Meet with potential patients at doctors’ offices during clinic appointments to provide information about trials
  • Identify and attend key networking and community events (i.e. community health expos, fairs, advocacy group events)
  • Responsible for identifying, developing, and maintaining relationships with key partnerships in assigned markets that lead to significant patient referral volume, happy partners, and well-served patients (i.e. Diabetes Foundation, American Heart Association, National Kidney Foundation, etc.)
  • Identify and schedule participation in community events
  • Manage inventory of branded giveaways and marketing materials
  • Connect with clients and prospects via in-person meetings, phone, social media, zoom, email etc.
  • Assist in content creation of digital & print marketing materials to drive lead generation
  • Assist in creation of lead nurturing program to improve partner lead conversion
  • Work cross functionally to ensure timelines and requirements for partnerships are met
  • Attend and participate in investigator meetings, monitoring visits, audits, seminars, and other regional or national meetings as required or requested
  • Strategize and develop recruitment plans with research teams, meeting weekly to refine as needed
  • Train new staff on patient recruitment procedures and operations
  • Identify and explore new sources of patient recruitment for current and future research studies
  • Enter, maintain, and update status and medical history of all subjects in the patient database
  • Conduct recruitment phone calls and schedule study appointments for potential research subjects
  • Prioritize rescheduling missed appointments for “no show” patients
  • Work with research staff to ensure subject enrollment is completed according to contract and within sponsor-provided timelines
  • Recognize, document, and inform research staff of identified trends in pre-screening, screen failures, and patient populations
  • Resolve patient recruitment related issues for potential subjects
  • Ability to follow through and perform with critical thinking and minimal supervision
  • Provide exemplary customer service with potential research subjects
  • Incorporate core organizational values of quality, respect, integrity, partnership, and compassion in all activities and decisions
  • May perform other job-related duties as requested or required


Required Knowledge, Skills And Abilities

  • Sound knowledge of medical terminology, disease states, medications, ICH/GCP, and Regulatory requirements.
  • Knowledge of good clinical practice (GCP), FDA and HIPAA policies and practices.
  • Well-developed interpersonal skills to collaborate effectively with clinicians, patients, administrators, auxiliary personnel, regulators, monitors and sponsors.
  • Exceptional and effective verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Fluent in spoken and written Spanish and English.
  • Strong organizational skills and meticulous attention to detail.
  • Ability to work independently, actively prioritize, seek input, problem solve, and work in a team environment.
  • Ability to establish and maintain effective working relationships with coworkers, managers, and research staff.
  • Ability to effectively and efficiently handle multiple tasks simultaneously with precision and adapt to shifting priorities, responsibilities, and workload.
  • Excellent active listening skills and ability to ask probing questions, understand concerns, and overcome objections.
  • Ability to develop rapport with patients over the phone and at in-person events/clinic visits.
  • Proficiency in social media (Facebook, Instagram, Twitter, etc.) for recruiting purposes.


Minimum Required Education, Experience And Certifications

  • High School diploma required, bachelor’s degree preferred.
  • 0-2 years in Marketing, Digital Advertising, and/or Sales preferred


Salary: Base + Monthly Uncapped Bonus

Location and Travel: Hybrid, with 75% local travel within the Miami greater area required.
