Job summary

Luna Physical Therapy is seeking an Onboarding Associate to be the first point of contact for patients, handling calls and scheduling across our therapist network. This remote role requires strong communication, reliability, and professionalism to ensure outstanding customer service and patient satisfaction.

As a key member of the onboarding team, you will manage registration, collect demographics and insurance info, and navigate multiple systems with precision.

Qualifications

• Office Admin experience required (1 year preferred).
• Demonstrates high level of customer service & interpersonal communication.
• Call/Contact center or high call volume experience preferred (1 year).
• Proficient with Google Suite and data entry.
• Highly detail-oriented; able to multi-task in a fast-paced environment.
• Must be able to work in the US without restriction.

Responsibilities

• Deliver exceptional customer service in a fast-paced call center environment.
• Manage patient registration, scheduling, rescheduling, and provider communications.
• Accurately collect and document patient demographics, medical history, insurance and appointment information.
• Handle inbound/outbound calls and emails with empathetic, solution-focused support.
• Navigate multiple systems for data entry, screen sharing, and patient guidance.
• Adapt to changing processes, technology, and business priorities.
• Work independently in a remote environment with productivity and schedule adherence.
• Maintain a distraction-free home workspace with reliable high-speed internet.

As an Onboarding Associate, you will be the first point of contact for our new and existing patients, responsible for answering incoming calls and scheduling appointments with our network of physical therapists. We are looking for someone who can work efficiently, demonstrate exceptional communication skills, and maintain a high level of professionalism to ensure outstanding customer service and patient satisfaction. • Candidates must have reliable, high-speed internet to perform the duties of this remote role. Additionally, a backup internet option is required to ensure uninterrupted connectivity in case of outages.

• While this is a remote position, we are currently only able to hire in select U.S. states due to employment and tax requirements. Unfortunately, we are not hiring in all states at this time.

• Days of the Week: Monday, Tuesday, Wednesday, Thursday, Friday (M, T, W, T, F)

• PST: 8:00 AM – 4:30 PM

• CST: 10:00 AM – 6:30 PM

• EST: 11:00 AM – 7:30 PM

This position requires extended periods of computer-based work, including frequent use of one or more monitors, navigation between multiple software applications, data entry, virtual meetings, and other screen-intensive activities. Employees must be able to perform the essential functions of the position, with or without reasonable accommodation.
