Patient Financing Representative - Marketing

Job Summary

The Patient Financing Representative plays a vital role in helping Heartland Dental supported offices navigate patient financing processes with accuracy, efficiency, and professionalism.

This position is responsible for coordinating lender-related onboarding processes, maintaining system accuracy, assisting with financing discrepancies, managing service tickets, and providing world-class phone assistance.

Success in this role requires strong attention to detail, responsiveness, and a commitment to creating a positive experience for internal partners.

Heartland Dental is the nation's largest dental support organization, providing non-clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in 1,900+ dental offices. Each Heartland Dental supported office is unique to the community and the patients they serve. Supported doctors are the clinical leaders of their practice, retain full clinical autonomy, and establish their own care philosophies. To give you an idea of the team structure, you will work on a team with three individuals dedicated to patient financing, reporting to the Patient Financing Manager.

Duties and Responsibilities
  • Deliver world-class service to internal partners by resolving patient financing inquiries, troubleshooting issues, and providing knowledgeable, courteous support via phones and Teams.
  • Manage and respond to office requests and emails related to patient financing needs, maintaining professionalism, accuracy, and timely service.
  • Provide in-the-moment support by guidance to office team members on patient financing programs, lender requirements, and system workflows, helping drive accurate and efficient processing.
  • Submit and manage patient financing enrollments with lending partners, ensuring accuracy, completeness, and timely follow-through.
  • Maintain and update lender information within internal systems, promoting consistent office access and functionality.
  • Complete and manage login documentation and registrations to facilitate office onboarding and ongoing lender access.
  • Prepare and send quarterly recertification reminders
  • Update lender contacts and website information to reflect office relocations, rebrands, and closures, ensuring system records remain current.
  • Assist with financing reconciliation processes as needed by researching issues, identifying next steps, and helping drive resolution.
  • The position will have access to minimum PHI necessary for performing job-related functions; regular HIPAA training, aligning with the specific role and responsibilities, will be required; and the individual will need to protect PHI and maintain data safeguards.
Minimum Requirements
  • High school diploma or equivalent required; experience in financing, dental healthcare, call center or customer service support is preferred.
  • General understanding of credit profiles, loans, and credit card processes is highly desired.
  • Ability to manage multiple priorities, adapt to changing needs, and take on assigned tasks when issues or urgent needs arise.
  • Practical working knowledge of Microsoft Word, Outlook, and Excel.
  • Strong verbal and written communication skills, with the ability to share information clearly and professionally.
  • Demonstrated ability to collaborate effectively with a team while also taking initiative and working independently.
Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
