ForMotion, part of the Embla Medical family, is hiring a Patient Care Specialist in Lynchburg, VA. You will greet patients, register them, and support clinic operations using EMR systems and standard procedures.

You will handle appointment scheduling, records management, and insurance coordination while maintaining a professional, patient-centered environment. Training and growth opportunities are available within a Nordic-inspired culture.

Qualifications

• High school diploma or GED equivalent is required.
• Experience using Microsoft Office.
• 1-2 years of healthcare and medical office experience preferred using EMR systems or equivalent skill set.

Responsibilities

• Answer telephone and direct inquiries or triage as needed.
• Schedule appointments and update patient demographics in the EMR.
• Obtain and scan insurance cards and documents into the EMR.
• Maintain complete patient records per company policies.
• Request information from physicians to include in the patient record before delivery and claims.
• Verify insurance benefits and relay payment/billing policies; collect patient payments.
• Maintain Work-In-Progress to ensure timely delivery of patient devices.
• Maintain a clean and safe environment for patients and visitors.
• Follow infection control and safety procedures.
• Take patient height/weight and review medical history with the patient.
• Prepare treatment rooms and patient care areas.
• Provide administrative support to the practice as needed.
• Support marketing efforts to build local referral relationships.
• Maintain professional relationships with patients, referral sources, and staff.
• Participate in ongoing training and development.

About the Role

The Patient Care Specialist (PCS) facilitates excellent patient experience and supports clinic operations based on expert or specialized knowledge for assigned prosthetics and/or orthotics medical practice. Primary responsibilities include greeting and registering patients, compiling complete chart documentation, and supporting clinical and technical staff.

What You'll Do

• Answers the telephone and either responds to an inquiry, directs caller to appropriate personnel, or initiates a triage email for response by clinical personnel.
• Schedules appointments, verifies and updates patient demographics, referral source and insurance information in the Electronic Medical Record (EMR).
• Obtains copies of insurance cards, drivers' licenses and other documentation from referral sources and scans relevant items into the EMR.
• Maintains complete patient records in the EMR per company policies.
• Initiates documentation requests from physicians and other healthcare providers and ensures information is included as part of the patient's medical record prior to product delivery and claim submission.
• Verifies patient insurance benefits, relays information on relevant payment and billing/collection policies and collects patient responsibility payments.
• Maintains and actively manages Work-In-Progress (WIP) to ensure timely and accurate delivery of patient devices in accordance with clinical timelines and service standards.
• Maintains a clean, orderly, and safe environment for patients and visitors.
• Follows infection control/safety procedures by adhering to applicable guidelines.
• Takes patient height, weight and reviews relevant medical history with patient.
• Prepares treatment rooms and patient care areas.
• Provides administrative support to the practice as needed.
• Strives for a paperless work environment and full-utilization of technology-based processes to drive operational efficiencies.
• Assists in marketing efforts to build relationships with local referral sources.
• Maintains professional relationships with patients, referral sources, clinical and non-clinical employees.
• Maintains product and administrative technical knowledge by actively participating in ongoing training and development courses.
• Carries out analysis of administrative support needs based on current clinic work in progress knowledge.
• May obtain prior authorization as required by payer.
• May assist in manually pricing items, based on insurance guidelines.
• May support more than one clinic in a market or region.
• Performs other duties as assigned.

Who You Are

High school diploma or GED equivalent is required.

Experience using Microsoft Office.

1-2 years of healthcare and medical office experience preferred using EMR systems or equivalent skill set.
