Position Overview

Under minimal supervision, the Patient Care Coordinator (General Surgery Department) will coordinate and schedule all procedures into the scheduling system for all providers, technicians, rooms, and equipment when applicable. Works as a liaison between physicians/office staff, patients, and the service department to provide accurate and complete schedules for procedures. Provides instructions to patients regarding procedural preparation. Adheres to the policies and the policies of the department or facility providing service.

Location and Schedule

Location: 1330 Rockefeller Ave, Everett, WA

Schedule: Monday – Friday, 8 AM – 5 PM PST. Potential for 4 10-hour shifts in the future.

Primary Responsibilities
  1. Schedule procedures appropriately, utilizing various scheduling tools.
  2. Fill empty schedule slots due to cancellations from the patient waiting list.
  3. Identify scheduling conflicts, notify relevant personnel, and rearrange schedules to resolve conflicts.
  4. Call patients from referral lists to arrange preventive screenings when applicable.
  5. Accurately document basic historical data to facilitate scheduling and follow protocols and guidelines for procedures/tests.
  6. Communicate patient concerns regarding health status changes to physicians or medical assistants.
  7. Coordinate with other clinic disciplines regarding procedures and patient care.
  8. Assist with patient recalls and direct scheduling activities.
  9. Interact with patients, physicians, and staff to coordinate rooms, equipment, supplies, and billing.
  10. Perform insurance pre-authorizations and submit charges when applicable.
  11. Provide patients with instructions for procedures, medication, and dietary restrictions.
  12. Verify interpretive services and review paperwork to ensure proper referrals and medical histories.
  13. Instruct patients on medication adjustments before procedures.
  14. Answer phones, prioritize calls, and communicate urgent issues to clinical staff.
  15. Perform patient interviews over the phone to ensure proper scheduling.
Qualifications

Required:

  • High School Diploma/GED or higher
  • At least 1 year of customer service or healthcare experience
  • At least 1 year of experience with Microsoft Office

Preferred:

  • CPR Certification
  • Over 2 years of scheduling experience in a clinical setting
  • Knowledge of insurance/referral processes
  • Experience with Epic and PHS scheduling software
Compensation and Benefits

The hourly salary range is $16.88 to $33.22, based on experience and other factors. Benefits include paid time off, health insurance options, 401(k), education reimbursement, employee discounts, and more.
