General Function

This role involves coordinating the daily administration of doctors, visitors, and patients within the practice. The goal is to ensure an excellent patient experience by seamlessly linking the doctor and other practice functions, establishing the practice as the premier vision destination in the community.

Major Duties & Responsibilities
  1. Greet patients promptly.
  2. Answer phones courteously and promptly.
  3. Schedule appointments to optimize patient satisfaction, provider time, and treatment room utilization.
  4. Keep appointments on schedule and notify providers of delays.
  5. Make reminder calls to patients for appointments and pickups.
  6. Record and update financial information, collect charges, and manage third-party claims.
  7. Maintain office inventory and equipment, order supplies, and verify receipt.
  8. Maintain confidentiality of patient information per HIPAA.
  9. Determine insurance eligibility based on current coverage.
  10. Maintain office systems and ensure a safe working environment.
  11. Follow policies and procedures, report needed changes.
  12. Support team efforts by completing related tasks.
  13. Work weekends and evenings as needed.
  14. Adhere to attendance, dress code, and timekeeping policies.
  15. Perform other administrative tasks as assigned.
Basic Qualifications
  • High School diploma or equivalent
  • At least 2 years of office experience in healthcare
  • Strong customer service skills
  • Effective communication and listening skills
  • Problem-solving abilities
  • Organizational skills
Preferred Qualifications
  • Experience with in-store technology and software applications
  • Knowledge of vision services, insurance plans, and office operations
  • Strong interpersonal skills
