Job summary

Talentify is seeking a dedicated Medical Office Administrative Assistant to support physicians and staff in coordinating patient care. You will act as the primary liaison between patients, clinical teams, and front desk to ensure smooth flow and timely communication.

The role also handles appointment scheduling, insurance pre-certification, medical records preparation, and billing coordination with the Patient Accounts department.

Qualifications

  • A high school diploma/GED is required.
  • Previous experience in a medical office setting is required.

Responsibilities

Position Summary:

Assists physicians and staff in coordinating patient care. Functions as primary liaison between patients, staff, and physicians.

Responsibilities/Accountabilities:
Clinic:
  1. Assists surgeon during office hours by facilitating patient flow, checks patients out and schedules follow up appointments and ensures that no patient is neglected or delayed unreasonably.
  2. Provides patient education related to treatment plan.
  3. Various clerical duties including copying, faxing, scanning and filing patient documentation as needed.
  4. Communicates changes to clinic schedule as needed.
  5. Responds to patient concerns or questions in a helpful and objective manner involving physician, mid-level, or supervisor as appropriate.
  6. Coordinates with front desk/registration and clinical team in assisting with patient visit, flow, etc. Helps facilitate rescheduling of appointments when necessary if physician is running behind.
  7. Other duties as assigned in support of providers.
Administrative:
  1. Books surgery and completes all associated surgery paperwork, prepares consents, etc.
  2. Obtains insurance pre-certification as needed for diagnostic procedures, treatment, medication, or surgery.
  3. Schedules, cancels and reschedules all appointments and testing for patients.
  4. Assures that any special surgical instruments/devices or DME have been ordered for surgery and post op care.
  5. Sends completed pre-admission testing to appropriate surgery location prior to patient surgery.
  6. Prepares x-rays and other patient information for doctor to take to surgery.
  7. Completes chart preparations to meet physician preferences/specifications, including but not limited to printing documentation from hospital, printing images, and scanning documentation into EMR
  8. Responds timely to various communications from providers, patients, peers and surgery center or hospital staff.
  9. Completes disability forms or other documents requested by patients, reviewing with physicians as needed.
  10. Works with Patient Accounts department to facilitate accurate and timely billing, including but not limited to ensure that charges are entered, e-bills are complete, and/or assist with resolution of any missing information or answering questions as needed.
  11. May provide coverage for vacation/sick calls for other team members.
  12. Places prescription refill orders at direction of physician/mid-level.
  13. Updates and maintains patient documentation in the EMR system.

  1. Works cooperatively with coworkers, providers, and management.
  2. Shares knowledge and insights with co-workers in a constructive manner.
  3. Willingly provides coverage to department, staying beyond scheduled ending time when clinic schedule demands it, volunteering to cover time off or unexpected absences, maintaining workflow in department without direct supervision.
  4. Addresses conflicts with person directly before involving manager or uninvolved peers.
  5. Is considerate of others with regard to taking breaks or meal periods, use of computer and telephone, and noise in department.
Policies and Procedures:
  1. Knows and complies with policies and procedures as enumerated in the Orthopedic One Employee Handbook and policies and procedures documents.
  2. Provides assistance and support to leadership in implementing policies and procedures as necessary.
  3. Actively participates in training, and conducting day to day work activity by adhering to all policies and procedures as enumerated in compliance and risk management programs.
Education, Experience, and Certification/Licensure Required:

A high school diploma/GED required. Previous experience in a medical office setting required.
