Job summary

North Star Behavioral Health in Alaska seeks a Patient Access Supervisor to lead front desk operations and ensure smooth patient flow across departments. You will manage a multi-line switchboard, screen calls, verify patient information, and support admissions and discharges.

This role partners with Intake/Admissions, Nursing, and Medical Records to coordinate patient access activities, while maintaining HIPAA compliance and a focus on service excellence.

Qualifications

The Patient Access Supervisor is responsible for facilitating the flow of the organization’s information and to provide a positive, responsive environment for receiving internal and external customers via telephone and face‑to‑face. The Patient Access Supervisor operates a multi‑line switchboard to relay incoming, outgoing, and inter‑office calls to their appropriate destination. Greets and screens all visitors before allowing them to proceed throughout the clinic. Acts as an information center to all visitors. The Patient Access Supervisor provides clerical support for clinic personnel. The Patient Access Supervisor serves as the primary point of contact for front desk operations and problem‑solving. The Patient Access Supervisor assists with supervision of the Patient Access Coordinators.

  • Answers and responds to incoming telephone calls promptly and in a pleasant, courteous, and clear manner. Role models service excellence in interactions with internal and external customers. Carefully screens calls before transferring them to offices and always requests patient’s confidentiality number before transferring.
  • Uses pages appropriately over the intercom system, speaking clearly and in a moderate tone; limits pages to emergencies, caller requests, or authorized announcements. Screens all visitors before allowing them to proceed past the lobby, making sure all visitors check in and out.
  • Completes and/or initiates admission paperwork, including demographic forms and handwritten documentation when required and monitors compliance of staff. Assists with documenting, inventorying, and processing patient belongings in accordance with hospital policy.
  • Creates and maintains the Patient Access Coordinators monthly schedule for all the North Star facilities. Participates in and oversees the process of counting front desk cash/credit collections daily and completing logs and supports the facilities safety and security programs and complies with policies and procedures.
  • Supports the clinic’s safety and security programs and complies with policies and procedures. Serves as the primary point of contact for front desk operations and problem‑solving. Oversee the patient access staff for all the North Star facilities.
  • Works closely with the Intake/Admissions department and follows procedures when prospective patients arrive. Responsible for ensure patients discharge appropriately and are removed from MS4. Monitors discharge activity and reconciles all discharges for each shift.
  • Initiates patient observation documentation according to established procedures and communicates completion to the appropriate clinical team. Serves as backup to intake phone calls and manages referrals and appropriately document the call details with subsequent entry into MS4.
  • Keeps the clinic lobby areas clean and tidy at all times, monitors and assumes responsibility for cleanliness of lobby daily, and signs for and receives incoming deliveries, mail, and food orders etc. and notifies the appropriate recipient. Greets and responds to applicants for employment and directs them to online application resources.
  • Assists with documenting, inventorying, and processing patient belongings in accordance with hospital policy. Obtains copies of patient identification cards, insurance cards, and required registration documents upon admission and uploads admission, insurance, and other required patient documents into the electronic health record and hospital systems and monitors compliance of staff. Prints and distributes face sheets, patient labels, admission packets, and other necessary patient documents to clinical units. Coordinates communication between Intake, Nursing Units, Business Office, and other departments to facilitate timely admissions and discharges.
  • Assists the Business Office with obtaining and documenting information necessary for billing and reimbursement processes. Maintains confidentiality of all patients, visitors, and organizational information in accordance with HIPAA and hospital policies.
  • Assists with creating, organizing, and maintaining patient admission charts to ensure all required documentation is complete. Collaborates with medical records to assure compliance of staff. Verifies insurance eligibility and benefits through designated insurance portals and other approved verification systems.
  • Maintains the communication log and accountability for completing tasks. Provides administrative support to Business Office Manager to include report processing.
  • Performs other duties as assigned/required by this position.
Qualifications

  • Experience: 2-4 years experience in administrative work with leadership experience preferred.
