Position Summary

The Patient Access Specialist is responsible for supporting Patient Access Services and Clinics at the Crystal Clinic Orthopaedic Center through training and education of new and current employees, providing financial counseling support to uninsured or underinsured patients, educating patients on benefits and out-of-pocket expenses, and providing coverage for access-related functions at all locations throughout CCOC. This includes training staff on Patient Access functions, registration, scheduling (including telehealth for clinics and total joint classes), insurance verification, and coverage for registration functions in other departments or service lines outside of Patient Access Services.

Essential Job Functions/Accountabilities

  1. Registers patients accurately and professionally to ensure integrity of patient data in Cerner and Centricity systems. Conducts patient/guarantor interviews, explains hospital policies, financial responsibilities, and patient rights. Ensures all forms are collected, completed, signed, and scanned into systems.
  2. Verifies insurance eligibility for upcoming appointments using eligibility systems. Provides advanced insurance verification when automated responses are insufficient, including accessing insurance websites or making phone contacts. Maintains confidentiality of sensitive information per HIPAA guidelines.
  3. Stays updated with all point-of-service, pre-registration, registration, charge entry, insurance verification, and authorizations for outpatient appointments or other services. Provides technical guidance to staff and evaluates their learning experiences, recommending improvements.
  4. Facilitates training and orientation for new staff and ongoing education for existing staff in front desk, scheduling, pre-registration, and check-out. Trains staff on co-pay collection, balancing, and batching policies.
  5. Acts as a mentor, coach, and role model, promoting positive customer service and patient access initiatives. Ensures scheduling guidelines are current.
  6. Provides financial counseling for uninsured, under-insured, or surgical patients. Recruits, registers, and trains patients on using Patient Portal systems. Maintains strict privacy of patient health and financial information. Participates in performance improvement activities.
  7. Performs other duties as assigned.

Position Requirements

  • High school diploma or GED required; college degree or progress towards degree preferred.
  • Minimum of 1 year experience in customer service or patient access functions such as registration, scheduling, verification.
  • Proficient with Microsoft Office, cash handling, multitasking, and office equipment. Ability to train and provide cross-coverage in other departments outside of Patient Access.

Schedule: Minimum 24 hours per month

Status: Per Diem (PRN) Variable
