Job description

This position reports to the Patient Access Supervisor or Manager and provides patient services and administrative support in ancillary operations. The role involves interacting with parents, patients, physicians, and staff under moderate supervision in a courteous manner. Responsibilities include collecting and verifying demographic information, scheduling appointments, and providing assistance across departments. The position may require floating to various ancillary patient access areas such as ED, RAD, LAB, AMSAC, etc. The next step in the career ladder is Senior Patient Access Rep.

2 years related experience (Required)

Required Skills/Knowledge
Broad knowledge of administrative processes and customer service skills. Computer knowledge necessary, with preferred experience in Microsoft Office (Word & Excel). Completion of Patient Access training curriculum and passing all competency assessments. Ability to type a minimum of 35 words per minute.

Functional Accountabilities

Patient Services

  • Accurately schedule patients using the applicable system, verify charge and diagnostic codes, and enter information into billing/registration systems.
  • Complete registration via computer, in person or by phone, professionally and courteously.
  • Collect accurate demographic and insurance information, update systems accordingly, and complete bedside registration for ED patients.
  • Reschedule missed appointments and follow-up appointments at checkout.
  • Greet patients and parents courteously, ensure proper system entry, and obtain necessary consents and documentation, including insurance cards and photo IDs.
  • Respond to patient portal requests and manage related work lists.

Information Verification

  • Verify insurance eligibility, ensure compliance with managed care policies, and address authorization issues promptly.
  • Notify parents of required insurance forms or pre-authorization, discuss payment responsibilities, and verify pre-authorization/referral information in advance.
  • Use multiple systems to verify patient information consistency.

Cash Collection

  • Collect and record payments, maintain cash controls, and help meet departmental collection targets.

Billing Preparation

  • Ensure all orders, scripts, and referrals are obtained before services, and link appointments correctly in scheduling systems. Conduct daily quality reviews of registrations.

Office Support

  • Answer calls, distribute mail, maintain office supplies, and keep the workspace clean. Check and respond to emails regularly and support other administrative tasks as needed.
