Job summary

Texas Children’s Hospital West Campus is seeking a Patient Access Representative to ensure timely patient registration and verify demographic data for accurate billing. You will work with patients, families, payers, and hospital teams to secure payments and determine charity eligibility where applicable.

The role requires attention to detail, strong data integrity, and commitment to EMTALA and Joint Commission standards.

Qualifications

  • High School Diploma or equivalent required.
  • Preferred 6 months experience as admissions representative/counselor performing all aspects of the registration process.
  • Associate or bachelor's degree may substitute for the experience.

Responsibilities

  • Obtain, verify, and enter complete demographic information for accounts to support the revenue cycle.
  • Search the patient accounting system for existing medical records to avoid duplicates.
  • Enter accurate demographic data with correct spellings for name, birth date, gender, address, phone, and guarantor information.
  • Monitor and work assigned DARs/work queues daily to secure all billing elements.
  • Financially secure patient accounts to maximize hospital reimbursement with courteous service.
  • Pursue collections at time of service to improve cash flow and minimize delays.
  • Provide complete documentation for each visit to ensure regulatory compliance.
  • Support process improvements by compiling data and proposing efficiency enhancements.

We’re hunting for a Patient Access Representative, someone who’s ready to be part of the best ranked children’s hospital in Texas, and among the best in the nation. In this position, you will ensure timely and accurate patient registration by serving as the liaison between patient/family, payers, Healthcare Information Management (Medical Records), Patient Financial Services (PFS or Business Services) and other health care team members. While utilizing a unique medical record number, the Patient Access Representative will facilitate patient tracking and billing by obtaining/verifying accurate and complete demographic information, financially securing, and collecting out-of pocket responsibility from guarantors to maximize hospital reimbursement. Maintain compliance with EMTALA, The Joint Commission, and all other hospital and government regulations applicable to the admissions setting. Identify non-resource patients for possible eligibility for government resources and/or the Hospital’s charity program and refer these patients to a financial counselor. Job Duties & Responsibilities
  • Obtains, verifies, and enters complete and accurate demographic information on all accounts to facilitate smooth processing through the revenue cycle.
  • Thoroughly searches the patient accounting system for an existing medical record on each visit. Uses appropriate search techniques to ensure that no duplicate medical records are created in the master patient index.
  • Accurately enters complete demographic information into the system. Verified information should include correct spelling of patient name, date of birth, gender, address, phone number, guarantor data, etc. Patient names should follow hospital protocol regarding middle names, suffixes, etc.
  • Ensure assigned DARs and/or work queues are monitored and worked on a daily basis, ensuring that all elements of the accounts are secured for billing.
  • Financially secures all patient accounts to maximize hospital reimbursement in a customer service-oriented fashion.
  • Maximizes the efficiency and accuracy of the collection process by pursuing collections at the time of service.
  • Provides complete and accurate documentation on each visit to ensure compliance with hospital and government regulations.
  • Provides continuous support of process improvements through compilation of data, excellent customer service, monitoring and evaluation of departmental roles, and proposals for process improvement initiatives.
