Job summary

Lumexa Imaging, Inc. in Grand Prairie, TX is hiring a Patient Access Representative I to schedule ultrasound and X-ray appointments and support patient registration. You will gather accurate demographic, insurance, and billing information and enter orders for imaging procedures.

This role requires excellent communication, data accuracy, and the ability to work with multiple departments. Training is provided, with an initial two weeks in Grand Prairie followed by remote work.

Qualifications

• High school diploma or equivalent.
• 1-3+ years related health care scheduling for multiple locations, medical terminology, physician billing and/or medical reception/medical office experience preferred.
• Call center or phone experience preferred.
• Previous customer service background required.
• Experience working with a computerized scheduling system preferred.
• Bilingual preferred.

Responsibilities

• Schedules and confirms ultrasound (US) and X-ray (XR) appointments. Enters all appointment dates and times into the computerized scheduling system.
• Gathers and verifies demographic, insurance, and billing information.
• Explains exams/procedures, preparation instructions and location directions to patients and provider office staff.
• Acts as a liaison for center operations and centralized authorizations department for centralized services.
• Contacts referring provider offices to obtain exam orders as necessary.
• Handles patient and provider calls (inbound and outbound) via telephone software in a courteous and helpful manner.
• Calmly handles patient experience and customer service issues, escalating to leadership when appropriate.
• Other duties as assigned per business need.

The Patient Access Representative I (PAR I) is primarily responsible for scheduling ultrasound and X-ray appointments. This role provides courteous and professional assistance to patients and physician offices during the scheduling and registration process for diagnostic imaging procedures. Key responsibilities include gathering and verifying accurate demographic, insurance, and billing information; scheduling appointments; entering imaging orders; and ensuring all related tasks are completed efficiently and in a timely manner. PAR I plays a critical role in supporting a positive patient experience and ensuring seamless coordination between patients, families, and healthcare providers.

Location:

• Grand Prairie, TX
• Train for the first 2 weeks in Grand Prairie, TX then remote

Essential Duties and Responsibilities:

• Champion the Lumexa Way in daily activities
• Ensures accuracy of patient data entered into the electronic medical record system

• Schedules and confirms ultrasound (US) and X-ray (XR) appointments Enters all appointment dates and times into the computerized scheduling system.
• Employees hired before October 2026 may still be required to enter orders for all imaging modalities if needed.
• Employees hired before October 2026 may still be required to schedule appointments for all imaging modalities, if needed.

• Explains exams/procedures, preparation instructions and location directions to patients and provider office staff

• Acts as a liaison for center operations and centralized authorizations department (i.e., CAD, etc.) as a supportive partner for centralized services

• Contacts referring provider offices to obtain exam orders if necessary
• Handles patient and provider calls (inbound and outbound) via telephone softphone application in a courteous and helpful manner.
• Calmly handles patient experience and customer service issues, escalating to leadership when appropriate
• Other duties as assigned per business need

Minimum Qualifications:

Education and Experience:

• High school diploma or equivalent
• 1-3+ years related health care scheduling for multiple locations, medical terminology, physician billing and/or medical reception/medical office experience preferred.
• Call center or phone experience preferred.
• Previous customer service background required.
• Experience working with a computerized scheduling system preferred.
• Bilingual preferred

Requirements to advance from PAR 1 to PAR 2:

• Completed and passed the training competency check
• Completed and passed the Supervisor-led knowledge assessment
• Consistently meets Tier 2 performance metrics (CSAT over 90% and AHT under 5 minutes)
• Not on a Final Written Warning or PIP
• Comfortable with scheduling/entering Arthrogram/Barium Swallow appointments
• Experts in scheduling all imaging modalities
