Job Description
Summary
The Patient Access Representative II interacts with patients via phone and in person to perform moderately complex front office operations in a hospital or clinic. They maintain a compassionate attitude, support UT Southwestern operations, and may need to travel. This role offers career advancement based on performance.
Experience and Education
- High school diploma or GED required
- 2-4 years’ customer service experience preferred
- 3 years’ clinical/medical office experience preferred
- Internal Applicants: 6 months’ experience as Patient Access Rep I or CSA I
- External Applicants: 6 months’ experience in entry-level registration in EPIC
Job Duties
- Pre-register/register patients for services and procedures.
- Interview patients or representatives to obtain or verify demographic and insurance info.
- Obtain copies of IDs and insurance cards.
- Document information in the registration system.
- Deploy consent forms and initiate Advance Directive process as applicable.
- Inform patients of visit status during delays.
- Verify insurance and coordinate financial data.
- Collect co-payments, deductibles, deposits, and balances.
- Follow cash handling policies and produce necessary paperwork.
- Obtain ABN and non-covered notice forms when needed.
- Maintain knowledge of registration systems and policies.
- Deliver excellent customer service following AIDET guidelines.
- Greet and direct patients, provide information, or assist with transport.
- Build rapport and communicate effectively with patients and staff.
- Maintain neatness and stock supplies in waiting and work areas.
- Release patient records as needed.
- Stay informed about regulatory agencies and standards.
- Meet productivity, collection, and quality standards.
- Protect patient privacy and adhere to HIPAA.
- Coordinate with physician offices and insurance for pre-certification and benefits.
- Follow the Code of Conduct, Core Values, and Mission Statement.
- Verify medical record numbers and notify HIM of duplicates.
- Perform other duties as assigned.
- Maintain a patient-centered attitude with compassion and empathy.
- Monitor and direct calls and faxes as needed.

- Explain policies regarding services, pricing, and billing.
- Monitor patient work queues across departments.
- Cross-train in multiple registration areas and functionalities.
