Job description

Customer service liaison responsible for the first impression at the medical center. Greets patients, accurately collects demographic and regulatory data (HIPAA, Medicare, Mass Pro, JACHO, DPH, EMtala, Subscriber, Health Care Proxy), obtains signatures, and provides regulatory paperwork. Ensures insurance eligibility and collects copays. Verifies patient identity through EMPI search and re-verification, including bracelet checks. Prints necessary paperwork and escorts patients to destinations. Handles telephone inquiries, performs registration quality checks, and assists hospital departments in accurate patient registration to facilitate their functions. Manages bed placement, including scheduled, urgent, and emergency admissions, transfers, discharges, and death procedures. Collaborates with scheduling and precertification teams.

SHIFT - Part-time, Night Shift, 11 pm - 7:30 am Saturday-Sunday

IV. Responsibilities/Essential Functions:

  1. Provide superior customer service to internal and external clients, customers, and patients, adhering to Service Excellence Standards.
  2. Obtain accurate patient information and enter into Meditech system, including choosing correct medical record number, verifying and updating demographic and insurance data, and recording accurate visit reasons, physician info, locations, services, and occurrence codes.
  3. Gather all regulatory data such as health care proxies, advance directives, HIPAA notices, Medicare questions, and demographic background.
  4. Verify insurance details, check eligibility, and ensure correct insurance information is recorded.
  5. Secure signatures for general consent, HIPAA privacy notice, and financial releases as per policy.
  6. Conduct daily quality checks on registrations, run revenue logs, and coordinate corrections with leads.
  7. Assign beds based on service and diagnosis, maintain current census, and perform transfers and activations promptly.
  8. Maintain confidentiality at all times.
  9. Answer phones professionally within three rings, knowing all downtime procedures and death processes, including reporting and documentation.
  10. Cross-train across registration areas and assume front desk responsibilities as needed.
  11. Follow departmental policies and procedures.

  • Report to Team Leaders, Supervisors, and Managers of Patient Access
  • Report to the Administrative Director of Patient Access

VI. Accountability:

  • Deliver exceptional customer service
  • Ensure accurate data entry and confidentiality
  • Comply with all regulatory requirements
  • Obtain signatures and paperwork for consent
  • Check revenue logs daily and follow policies and procedures

VII. Qualifications:

  • High School diploma required; some college preferred
  • 2-4 years healthcare experience with medical terminology and registration preferred; insurance knowledge a plus
  • Strong multitasking, customer service, and communication skills required
