Job summary

Qualifications

Responsibilities

  • Enters patient registration and test results into the EMR; performs quality checks for timeliness and accuracy.
  • Tracks lab reports to ensure results are received and entered into Insight.
  • Calls patients to remind them of upcoming appointments; manages rescheduling as needed.
  • Performs duties of patient navigator including answering clinic calls, greeting patients, scheduling, and ensuring services.
  • Conducts patient satisfaction surveys and clinic flow time studies.
  • Serves as primary contact for patient experience; staffs the patient experience line and addresses concerns with STD program leadership.
  • Assesses patient access points and suggests improvements to STD program leadership.
  • Maintains and updates clinic signage, recording/announcement changes, and clinic switchboard.
  • Provides support for back-office clerical team; enters test results and scans documents.
  • Performs intake duties including registering patients, scanning documents, and collecting payment.

Job Role Summary

Responsible for assisting patients in accessing care, treatment, and results. Providing backup for the back-office Patient Navigator, and Intake will be the primary work duty; however, other duties in service of patient access and quality assurance will be important components of the position.

  • Enters patient’s registration and test results into EMR. Performs quality assurance checks to ensure timeliness and accuracy of data entry.
  • Tracks lab reports through IU Infectious Disease Lab and State Department of Health to ensure all results are received and entered into Insight in a timely manner.
  • Calls patients to remind them of their upcoming appointments. Will cancel or reschedules appointments for patients depending on the patient needs.
  • As needed, performs duties of patient navigator including answering and evaluation needs of clinic calls, greeting patients, scheduling appointments, and ensuring patients receive appropriate services.
  • Conducts patient satisfaction surveys and clinic flow time study on a semi-annual basis.
  • Serves as primary contact for patient experience. Responsible for staffing patient experience line and ensuring concerns are addressed with STD program leadership.
  • Assesses points of patient access and offers suggestions for improvement to STD program leadership.
  • Maintains and updates all clinic signage, recording/announcement changes, and clinic switchboard.
  • As needed, provides support and coverage for the back-office clerical team. Enters test results in the EMR system and scans all relevant documents into the Onbase system.
  • As needed, performs duties of intake staff including registering patients, scanning relevant documents, and collecting payment.
  • Participates in public health emergency preparedness exercises and in the response to public health emergencies as directed.
  • Participates in a minimum of two H.O.P.E. events totaling a minimum of (8) hours annually.
  • Performs other duties as assigned by STD program leadership.
Qualifications
  • High school diploma or equivalent required, an advanced degree is highly desired.
  • 1-2 years previous office coordination experience required; and/or training; or equivalent combination of education and experience.
  • A minimum of 1 year of supervisory experience.
  • Access to reliable transportation.
Licenses/Certifications Required
  • Valid Indiana driver's license.
Knowledge, Skills & Abilities

Language Skills:

  • Must be able to effectively communicate verbally and in writing with a wide variety of staff at various levels of knowledge and communication, as well as members of outside organizations/agencies, and the public.
  • Ability to display patience, understanding, initiative, tact and maturity and the ability to communicate concepts and instructions clearly.

Mathematical Skills:

  • Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Standard office setting.
  • On-the-job duties require talking, hearing, sitting, walking, using hands to finger, handle, or feel, and reaching with hands and arms.
  • Occasionally required to climb balance, stoop, kneel, crouch, crawl and stand.
  • Must be able to lift up to 25 pounds.
  • Must be able to perform job duties in environment with moderate noise level (examples: business office with computers and printers, light traffic).
  • Has exposure to communicable diseases; combative patients and their associates in stress situations.
