Job summary

Hunter Truck Sales & Service LLC in Utica, NY is seeking a full-time Parts Department Manager. You will oversee purchasing, inventory control, pricing, merchandising, and advertising to drive dealer profits.

Salary ranges from $75,000 to $100,000 annually, with a Monday–Friday schedule from 7:30 AM to 5:00 PM. Responsibilities include forecasting, hiring and training staff, budgeting, analyzing sales and inventory, and coordinating with service and body shop managers to ensure timely parts

Qualifications

  • Bachelor’s degree or higher in a related field.
  • 4–6 years of related experience in parts department or retail management.
  • Valid Driver’s License required.

SUMMARY

Manage the Parts Department to return a satisfactory profit on dealer capital invested. Accomplish objectives using proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, displaying, and advertising.

ESSENTIAL DUTIES include the following. Other duties may be assigned.

Forecasts goals and objectives for the department and works daily to meet them.

Hires, trains, motivates, counsels, and monitors the performance of all department staff.

Develop, with the SR VP of Parts Operations and the Branch Manager, a training and succession plan for the department.

Prepare and administer an annual operating budget for the parts department.

Analyze sales, expenses, and inventory monthly to maintain profit goals.

Work with SR VP of Parts Operations and the Branch Manager to accomplish assigned goals.

Attend manager’s meetings.

Maintain current knowledge of industry at large as well as the marketplace within the dealership’s AOR.

Hold monthly department meetings for the purpose of communicating industry news, changes in procedure, new vendor or part sales opportunities, etc.

Provide technical assistance to parts department employees.

Coordinate a prompt, efficient, and timely flow of paperwork.

Monitor daily reports and sales productivity.

Develops with senior management, enforces, and continuously reviews customer processes that ensure complete satisfaction.

Ensure work area is kept clean and orderly.

Enforces safety requirements, including but not limited to forklift training and operation, processing of MSDS sheets on all products carried, and OSHA Right-to-Know.

Understands, keeps abreast of, and complies with federal, state, and local regulations that may affect parts sales.

Maintain professional appearance.

Work hours consistent with proper management of all shifts as well as time required for any special circumstance.

Maintain a balanced inventory consistent with the requirements of the service department, body shop, fleets, wholesale accounts and the do-it-yourself public.

Establish individual parts inventory levels and balance them for turns consistent with company policies.

Monitor and adjust inventory to manage obsolescence within company guidelines.

Ensure returns are processed within vendor guidelines to ensure maximum credit for the company.

Supervise stock order procedures and all applicable replenishment systems.

Enforce a policy on the special ordering of parts. Ensure that stock orders represent at least ninety percent (90%) of all orders.

Work with the service manager and body shop manager to ensure a timely turnaround of parts needed for internal jobs.

Analyze departmental operations and storage layout and makes revisions as needed for maximum effectiveness.

Direct shipping and receiving efforts to ensure timely processing

Utilize the lost sales summary report.

Ensure that all parts department purchases are properly accounted for before payment is made.

Establish pricing parameters in each customer category that generate sufficient gross profit to produce a satisfactory profit while maintaining customer loyalty.

Ensure that the same high-quality level of service provided to outside customers is also provided to internal dealership customers.

Direct outside parts and counter sales efforts, including a telemarketing program to maintain customer contact and increase sales.

Make regular, in person customer visits alone and with other dealership staff.

Take advantage of all manufacturers' inventory co-op advertising.

Handle customer complaints immediately and according to the dealership's guidelines.

Assist in the collection of past-due accounts.

Perform quarterly full inventory cycles including dirty core inventory.

Adhere to and promote all existing health and safety policies in the workplace to reinforce the Hunter culture of a safe work environment

Conduct training and presentations for health and safety matters and accident prevention as directed

Inspect facilities, operations, equipment and machinery to observe possible unsafe conditions and adherence to the law

Investigate accidents or incidents to discover causes and recommend solutions to issues, improvement opportunities or new prevention measures

SUPERVISORY RESPONSIBILITIES

Directly supervises 10-20 employees in the Parts Department. Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor’s degree (BA) from a four-year College or University; four to six years related experience and/or training; or equivalent combination of education and experience required

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; ability to apply concepts of basic algebra and geometry

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

Valid Driver's License required; must meet company insurability standards
