Job summary

A Caring Alternative, LLC is a CARF-accredited service provider in NC seeking a skilled office/records administrator to manage the management information system and medical records for multiple sites in Western North Carolina.

The role requires a High School Diploma or equivalent, 1 year in adult substance use work, and proficiency with Microsoft Office; CNA II, CMA, or NC Med Tech certification may be advantageous. On-site position with comprehensive benefits is offered.

Qualifications

  • High School Diploma or equivalent.
  • 1 year of professional adult substance use work experience.
  • Must be at an acceptable standing with the Nurse Aide Registry.
  • Strong written, oral, interpersonal, and organizational skills; proficiency in Microsoft Office.

Responsibilities

  • Operate and coordinate the management information system.
  • Manage medical records.
  • Maintain accounting and budget records for individual and program expenditures.
  • Provide support to the team by receiving calls and responding to office walk-ins, triaging and coordinating communication between the team and individuals.
  • Actively participate in the daily team meeting, assisting with organizational record keeping and scheduling activities.
  • Assist with biochemical assays and record results.
  • Collect data and generate reports for ACA, MCOs, funding bodies and accrediting/regulatory bodies.
  • Answer the telephone and greet the public.
  • Verify units authorized and dates; enter authorizations into the EMR.
  • Link medical records requested by authorized vendors.
  • Assist business office in tracking denials.
  • Assist with discharges, transitions, and admissions.

Responsibilities
  • Operate and coordinate the management information system.
  • Manage medical records.
  • Maintain accounting and budget records for individual and program expenditures, as needed.
  • Provide support to the team by receiving calls and responding to office walk-ins, triaging and coordinating communication between the team and individuals.
  • Actively participate in the daily team meeting, assisting with organizational record keeping and scheduling activities.
  • Assist with biochemical assays and record results.
  • Collect data and generate reports as required by ACA, MCOs, funding bodies (Burke County Opioid Grant) and accrediting/regulatory bodies.
  • Answer the telephone and greet the public.
  • Verify units authorized and dates; enter authorizations into the electronic medical records system.
  • Link medical records requested by authorized vendors (e.g., hospitals, MCO, etc.).
  • Assist business office in tracking denials.
  • Assist with discharges, transitions, and admissions.
Basic Job Requirements
  • Ability to perform tasks on the computer including Microsoft 365, Excel, Word and other basic programs.
  • Valid driver’s license, auto insurance coverage and reliable transportation.
  • Pass criminal background check and other regulatory checks.
  • Provide proof of your education.
Licensure/Certification Requirements

CNA II, CMA, NC Med Tech Certification

Education and Experience
  • High School Diploma or equivalent.
  • One (1) year of professional adult substance use work experience.
  • Must be at an acceptable standing with the Nurse Aide Registry.
  • Exceptional written, oral, interpersonal, and organizational skills. High level proficiency in Microsoft Office—MS Word, Excel, Access, and PowerPoint.
Education and Experience Preferred
  • At least 3 years’ experience in clinical services, primary and behavioral health care integration, organizational change processes, and consultation and training development/implementation.
  • Experience treating individuals with serious mental illness (SPMI).
