Job summary

Willamette Valley Cancer Institute in the Eugene/Springfield area is seeking a dedicated Medical Assistant to join the clinical team. The role supports patient care, coordinates with physicians, and ensures accurate charting and efficient workflow.

The position is part-time (approximately 16 hours per week) with a general pay scale of $20.00–$36.87 per hour. Benefits include sick and holiday pay and a 401(k) plan, with location in Eugene, OR. A strong clinical background and teamwork are valued.

Qualifications

  • High school graduate or equivalent
  • 1-3 years of experience
  • Experience with refill protocols in clinic or hospital setting strongly preferred
  • Certificate of graduation from an accredited program for Medical Assistants or NCMA certification preferred
  • Current BCLS certification required within 3 months of hire

Responsibilities

  • Patient Data Collection: Accurately take and record patient information during each physician visit, including vital signs, updates to medications and allergies, depression screenings, smoking status, activity levels, and patient and family health history.
  • Electronic Health Records (EHR): Document patient interactions and clinical data accurately in the EHR system, maintaining confidentiality and compliance with HIPAA regulations.
  • Room Preparation & Maintenance: Prepare exam rooms before patient visits and ensure cleanliness and proper stocking of medical supplies.
  • Coordination of Care: Facilitate biopsy requests, genetic testing requisition, outside lab orders, imaging requests and misc. orders.
  • Order Follow‑Up: Monitor and follow up on medical orders to ensure they are scheduled within the requested time frame, helping maintain timely and coordinated patient care.
  • Clinical Support: Assist physicians and nursing staff with in‑office procedures, exams, and treatments, ensuring a smooth and efficient workflow.
  • Patient Communication: Provide clear and compassionate communication to patients regarding procedures, instructions, and follow‑up care.
  • Patient Escorting: Escort patients to and from exam rooms, treatment areas, and other departments as needed, ensuring comfort, safety, and timely transitions throughout their visit.
  • Chart Preparation: Perform chart prep for upcoming patient appointments by reviewing and organizing relevant clinical information to ensure providers have the necessary documentation for efficient and informed visits.
  • Message & Portal Monitoring: Monitor the chart message queue and patient portal, responding to patient calls and messages promptly to assist with questions, concerns, and coordination with outside facilities.
  • Provider Communication: Maintain excellent communication with providers by keeping them informed of patient concerns, schedule changes, and other relevant updates to support seamless care delivery.
  • Assist with FMLA & Referrals: Provide administrative support for FMLA and referral processes, including documentation, patient/provider communication, authorization coordination, referral scheduling, medical record management, and accurate EMR documentation to support timely patient access to care.
  • Other duties as assigned
