Welcome to Foley Eye Clinic, an esteemed Ophthalmology practice situated in St. Paul and Apple Valley, Minnesota. Currently, we are seeking a dedicated part-time Front Desk Coordinator to join our team. The role will be primarily based at our St. Paul office, with occasional support at the Apple Valley location.

Position Details
  • Role: Part-time Front Desk Coordinator
  • Schedule: Monday 8am-4:30pm, Wednesday 7am-1pm, Thursday 8am-4:30pm
Role Overview

Are you organized and personable? Foley Eye Clinic needs a Front Desk Coordinator to be the first point of contact for patients, delivering excellent customer service and ensuring smooth operations. Your responsibilities include greeting patients, scheduling appointments, managing patient records, and facilitating communication among patients, staff, and providers.

Responsibilities
  1. Patient Welcome: Greet patients, provide forms, and assist with inquiries.
  2. Appointment Scheduling: Manage booking system, prioritize urgent cases, and handle rescheduling or cancellations.
  3. Patient Registration: Collect and update patient information, ensuring accuracy and confidentiality.
  4. Insurance Validation: Verify insurance coverage with patients.
  5. Medical Records Management: Organize and maintain patient files and electronic health records (EHR), complying with HIPAA and facilitating record transfers.
  6. Communication: Handle calls and emails professionally, addressing patient questions and appointment requests.
  7. Multitasking and Problem-Solving: Prioritize tasks effectively and resolve issues efficiently.
Minimum Requirements
  • High school diploma or equivalent.
  • Experience as a receptionist or front desk staff in healthcare is preferred.
  • Excellent interpersonal and communication skills with a friendly, empathetic approach.
  • Strong organizational skills and attention to detail.
  • Ability to handle high call volume and patient inquiries.
  • Ability to work under pressure, stay composed, and prioritize tasks.
