Job description

Fast-paced, growing pet care business is seeking a remote part-time Administrative Assistant to help with the day-to-day responsibilities of running the business. This position would require about 20 hours a week, with the opportunity to expand into a full-time role as the company grows. The schedule must be flexible to accommodate possible evening and weekend hours. As a growing business, responsibilities will vary across operational areas. We wear many hats!

Location & Hours

Must reside in Loudoun County, Virginia.

  • Hours: Monday - Friday 4:00 pm - 6:00 pm; Saturdays 9:00 am - 4:00 pm, with occasional Sundays as needed.
  • Pay: $16 - $18/hr.
Responsibilities
  • Answer incoming phone calls and respond to inquiries promptly.
  • Schedule new and existing clients, including rescheduling as needed.
  • Manage groomer and sitter schedules.
  • Maintain and update client files.
  • Ensure all visits are assigned and completed.
  • Manage Outlook correspondence and respond timely.
  • Organize messages following company procedures.
  • Add appointment notes for groomers and sitters.
  • Serve as an emergency backup sitter.
  • Use company message boards for communication.
  • Attend events and run errands as required.
  • Perform other administrative tasks as assigned.
Qualifications & Skills
  • Must love animals and people.
  • 1-3 years of customer service or data entry experience.
  • Detail-oriented.
  • Previous use of scheduling software is preferred but not required.
  • Proficient in Outlook.
  • Ability to multitask in a fast-paced environment.
  • Strong problem-solving skills with the ability to independently assess challenges and implement solutions.
  • Self-motivated, proactive, and able to prioritize tasks efficiently.
  • Maintain a positive, kind attitude when managing multiple demands.
  • Obsessed with lists and checking tasks off.
  • Comfortable with technology and quick to learn new tools, including Microsoft Office and social media platforms.
  • Excellent oral and written communication skills, with high customer service and professionalism.
  • Own reliable transportation and smartphone.
  • Experience with dogs & cats or in the pet industry is preferred.
  • Experience in events, marketing, or social media is a plus.
