Part-Time Administrative Assistant (Remote – Local to Paramus NJ)

Pay Rate: Up to $30/hour

Hours: 20–25 hours/week

Location: Remote, but must be local to Rochelle Park, NJ

Firm Type: Mid-size CPA Firm

We are seeking a highly organized and detail-oriented Administrative Assistant to provide direct support to a Partner at our mid-size CPA firm. This part-time remote role offers flexibility but requires the candidate to be local to Rochelle Park, NJ for occasional in-person meetings or tasks.

Key Responsibilities
  • Manage and prioritize the Partner’s calendar, meetings, and client appointments.
  • Coordinate client communications, including drafting correspondence, responding to inquiries, and managing email flow.
  • Prepare, proofread, and format client deliverables, proposals, presentations, and reports.
  • Assist with engagement letters, billing, and time/expense tracking; follow up on outstanding invoices.
  • Support client onboarding by gathering documentation and maintaining accurate records.
  • Maintain organized electronic and paper filing systems in compliance with firm standards.
  • Coordinate travel arrangements, conference calls, and firm events.
  • Provide administrative support during busy tax and audit seasons, including e-filing, assembling financial statements, and tracking deliverables.
  • Handle confidential information with discretion and professionalism.
  • Liaise with staff, departments, and clients to ensure smooth workflow and efficient operations.
Qualifications
  • 3+ years of administrative support experience; experience in a CPA firm or professional services environment strongly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Professional demeanor with strong interpersonal skills and a client-service mindset.
  • Ability to maintain confidentiality and handle sensitive information.

Pay Details: $25.00 to $30.00 per hour
